Purpose

Provide high-level administrative and project support to the TIE Business Strategies Team by coordinating meetings and events, managing calendars and deadlines, and preparing professional agendas and correspondence. Ensure smooth execution of partner-facing activities and internal operations by supporting agreement workflows, maintaining CRM/contact records, coordinating travel and expenses, and proactively anticipating needs to keep projects and engagements on track.

Responsibilities
  • Meeting & Event Coordination: Work directly with the TIE Business Strategies Team to coordinate and schedule meetings, calls, events, site visits, etc. Prepare detailed agendas. Draft polished correspondence for outside parties. Agreements & Memoranda: Work with TIE and various UT Austin technical and contracts staff to initiate, monitor, and shepherd the execution of Non-Disclosure Agreements (NDAs), Business Contracts, Purchase Orders, MOUs, LOIs, and other agreements & documents as needed. Ensure that all such agreements & documents are executed in a timely fashion. Deadline & Calendar Management Track deadlines and ensure that calendars of key TIE staff are up to date with relevant events, calls, meetings, conferences, etc.

  • Project Support: Assist in building and maintaining customer and partner contact lists and communication logs, and documenting areas of follow-up along with meeting minutes, e-mails, and phone calls. Make entries as needed in TIE's Customer Relationship Management (CRM) database. Event & Expense Management: Book travel, manage reimbursements for TIE Business Strategies staff. General Functions: Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress, problem-solving, and making adjustments to plans. Anticipates what is needed to accomplish the success of an event, project, or process and plans/executes accordingly. Additional duties as deemed necessary.

Required Qualifications

Bachelor's degree, one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience. Proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Teams, etc.) Excellent written/verbal communication, analytical, problem-solving, and organizational skills. Ability to learn and adapt to changes. Strong attention to detail. Ability to multitask and prioritize. Able to anticipate and proactively solve problems before they escalate. Ability to maintain confidentiality with NDAs, financials, client relationships, etc. Flexible & resilient, able to deal with tight deadlines, last-minute travel changes, etc.

Preferred Qualifications

Bachelor's degree, Proficiency with SharePoint. Proficiency with SmartSheet Prior experience working in the semiconductor or other tech industry.

Hourly Rate

$28.50

  • The work hours are from 8:00 a.m. to 5:00 p.m.
