Position Summary:
We have an exciting opportunity to join our team as a Human Resources Assistant.

In this role, the successful candidate under general supervision of the Human Resources Generalist and according to detailed procedures and processes, the Human Resources Assistant is responsible for providing support to the Human Resources department through various administrative and clerical tasks. The HR Assistant coordinates all front desk and receptionist activities of the department by serving as a point person and subject matter resource when answering incoming calls, emails, and walk ins. This position requires discretion and judgment when handling employee inquiries, screening important visitors and phone calls, and relaying confidential information internally and externally. This role supports organizational and operational responsibilities by maintaining department and employee files, ordering department supplies, directing applicants and employment staff to the proper departments, and assisting with other items as needed. The HR Assistant also provides support for employee engagement initiatives, including event coordination and related communications.

Job Responsibilities:

  • Coordinate all front desk and receptionist activities, serving as the department's main point of contact for incoming calls, walk-ins, and visitors; provide routine information, direct inquiries appropriately, and ensure coverage during planned absences
  • Assign, manage, and respond to HR Salesforce cases; ensure timely and accurate case handling
  • Prepare and manage correspondence, memos, and internal communications
  • Retrieve and maintain employee and departmental files, including scanning and uploading documents to employee records
  • Process department supply orders and track inventory needs
  • Assist the HR Transactions Analyst with the licenses and certifications process
  • Stay informed on labor law updates and assist with HR compliance tracking and documentation, including maintaining required postings and preparing files for survey readiness under the direction of the HR Generalist
  • Support employee engagement initiatives, including event coordination and related communications
  • Assist with special projects and general HR tasks as needed

Minimum Qualifications:
To qualify you must have a High school diploma or equivalent.
At least 1 year of office or clerical experience.
Proficiency in Microsoft Office Suite.
Strong analytical and organizational skills.
Professional interpersonal skills and strong written and verbal communication skills.
Ability to maintain confidentiality and work collaboratively with staff at all levels.
Demonstrated accuracy, attention to detail, and ability to manage multiple tasks effectively.

Preferred Qualifications:
Previous administrative or Human Resources experience.

The salary range for the role is $40,260.73 - $57,919.63 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
