DEPARTMENT OVERVIEW

UC San Diego Division of Extended Studies serves as a catalyst for positive change by advancing global access, equity, and social and economic mobility through educational enrichment across the lifespan.

As a fully self-supporting division under UC San Diego Academic Affairs, Extended Studies operates year-round (12 months of active instruction) with a budget of $50 million annually. A team of 260 academic and staff employees and more than 1,200 instructors fulfill the mission of delivering exceptional educational experiences and services that reflect our standing as part of a top-tier globally renowned public research University.

Extended Studies operates in 200,000 square feet of managed space, including a headquarters building with classrooms, training spaces and key administrative offices adjacent to the UC San Diego campus, as well as off-campus classroom facilities in nearby University City. The division maintains a robust online learning platform, operating 24/7 with webcasting and video-conferencing capabilities, while also maintaining a strong web presence with e-commerce operating 24/7. There are over 90,000 enrollment transactions annually, supported by a robust network of representatives, agents, and students. Focused on community engagement and enrichment, the division operates two television stations, UCTV and UCSD-TV, and a variety of public lecture programs, while staying active in federal, state, local, and private research and technical assistance programs and activities.

Extended Studies is also responsible for the management and financial, operational, and programming oversight of UC San Diego Park & Market, a 66,000-square-foot, four-story, multi-purpose office building located in the East Village neighborhood of downtown San Diego. Park & Market supports and hosts a wide variety of civic, community, corporate, and campus events, meetings, conferences, and programs.

POSITION OVERVIEW

The Graduate Student Program Advisor and Coordinator is a highly-experienced professional who provides counseling to students on the full range of requirements and opportunities for one or more self-funded and professionally-oriented, graduate degree programs, administered in the Office of Advanced Professional Education and Development (OAPED) at UCSD Division of Extended Studies. The graduate coordinator provides graduate program advising and student services advising related to the student's admission and during their enrollment in the program, as well as related to their academic progression towards degree completion and any issues related to graduation, student conduct and academic integrity . Provides resources and assistance for student life matters such as obtaining financial aid, health insurance, enrollment records, tuition fee payments, etc. Communicates and enforces policies of UC San Diego Graduate Division (GEPA) and of the Program. Advises faculty regarding policies, program objectives, and student needs. The coordinator also assists the program's academic leadership with day to day program operations and management, such as student admission and recruitment activities, student and alumni events, organizing committee meetings, recording minutes, planning and scheduling courses each quarter, administering petitions related to student matters, implementing and submitting documentation for curriculum changes and course format changes, etc. In collaboration with the program directors and other stakeholders, participates in long-range strategic planning, student recruitment and the development of strategic student recruitment plans.

  • This position offers a hybrid (remote/on-site) work arrangement, with a requirement of at least 2 days onsite. This position is at Division of Extended Studies' 8980 Villa La Jolla Dr. location.

QUALIFICATIONS
  • Working knowledge of advising and counseling techniques. Experience working in student counseling for self-funded, graduate professional programs, including academic advising, admissions, and outreach.

  • Demonstrated experience in forecasting enrollment, and developing and overseeing simple budgets.

  • Demonstrated experience designing, developing, delivering and managing educational programs for adults

  • Knowledge of common graduate program designs, including admissions requirements, processes and progression to candidacy.

  • Experience in advising students regarding student life, financial assistance, study workload, student conduct and other related issues

  • Demonstrated success in working with and advising faculty to organize and deliver an excellent student learning experience.

  • Knowledge of complex U.S. visa and immigration procedures, compliance issues, and employment eligibility / authorization for international students and scholars.

  • Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.

  • Solid verbal and written communication skills.

  • Multicultural competencies; ability to work with diverse populations.

  • Interpersonal skills.

  • Ability in problem identification and reasoning; ability to develop original ideas to solve problems.

  • Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance.
