Work Schedule
8:00 am - 5:00 pm; Monday - Friday with occasional evening and weekend hours required, as necessary.

This position may be eligible for a telework schedule once onboarding into position is complete and with supervisor approval.
Primary Purpose of Position
The primary purpose of the Financial Aid Counselor position is to:

  • Monitor student activity for students enrolled in Part of Term Courses
  • Perform essential processing including identifying relevant students, communicating with students, and submitting students for withdrawal processing
  • Identify and finalize students that need reverse processing and re-awarding
  • Serve as the point of contact for Course Program of Study at Charlotte, which will required adjusting aid based on eligible courses.
  • Process all thesis and repeats to ensure accuracy in financial aid eligibility.
  • Process all unofficial withdrawals at the end of each term
  • Serve as a backup for federal file processing, withdrawal processing, study abroad, and transient study.


This position will also provide counseling regarding financial aid policies and procedures to students, parents, and colleagues. In addition to these duties, this position will also have specific programmatic responsibilities.
Minimum Education/Experience
Required Minimum Qualifications:

Graduation from high school and one year of related office experience; or an equivalent combination of education and experience.

Essential Job Duties
Perform specialized duties in support of part of term and course program of study processing. Responsible for unofficial R2T4 calculations. Determine eligibility for thesis and repeat coursework students. Analyze and review output reports for course program of study and part of term processing. Resolve discrepancies. Answer student and staff questions regarding federal programs and their requirements. Coordinate with partners on campus including registrar, student services, Niner Central, University Communication, IT, and graduate school for course program of study.
Other Work Responsibilities
This position will perform other job duties and special projects as assigned or directed. Assists in researching rules and regulations concerning eligibility and participates in determining office policy and procedures. Reviews student records and makes decisions regarding aid eligibility and compliance. Collects data and provides necessary reports to senior management. Must meet time service deadlines on work as well as critical federal and state deadlines. This position counsels with students by a variety of means including in person, by phone, and email. Performs other job-related duties and special projects as assigned or directed.
Departmental Preferred Experience, Skills, Training/Education

  • Financial Aid office experience with working knowledge of the federal, state and institutional requirements regarding aid administration; Experience with R2T4 calculations
  • Experience with Course Program of Study (CPoS).
  • Microsoft and Google Suite intermediate experience; Banner experience is preferred.
  • Excellent interpersonal skills, with a strong customer service orientation
  • Must have strong attention to detail.
