SUMMARY

The Safety Coordinator / Administrative Assistant supports the organization's safety program while providing administrative support to management and Human Resource department. This is an onsite position that helps ensure compliance with OSHA and company safety standards, maintains accurate safety documentation, and assists with daily office and production-related administrative tasks. The position requires strong organizational skills, attention to detail, and the ability to work effectively, maintain confidentiality in a fast-paced manufacturing environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Adhere to the Company's Quality Management System to ensure compliance with applicable regulatory requirements.
  • Perform special assignments as directed by supervision commensurate with experience.

  • Maintain and update safety training, employee records, certifications, incident reports, and inspection documentation within Safety Plus website.
  • Assist in implementing and maintaining workplace safety policies and training in compliance with OSHA and company policies.
  • Update safety bulletin board with OSHA requirements.
  • Support Facility Manager with maintaining Safety Data Sheets (SDS).
  • Assist with workplace accident and injury investigations and documentation.
  • Prepare OSHA 300 logs and 300A summary for posting
  • Coordinate quarterly meetings for the Safety Core Team and Safety Committee.
  • Conduct safety orientation tours.
  • Communicate safety updates and reminders to employees and supervisors
  • Maintains first aid boxes and emergency evacuation backpacks
  • Review, maintain, and update the Injury and Illness Prevention Program (IIPP)
    • Provide general administrative support for General Manager and Human Resources including filing, data entry, and document control
    • Support the recruitment/hiring process ordering background/drug checks, coordinating with temp agencies, drafting offer letters.
    • Maintain applicant tracking system.
    • Ensure company bulletin boards are updated with the latest Henry Schein compliance posters, state and federal labor law posters, and employee announcements. Update TV slides to promote high level of employee morale & motivation
    • Collaborate with HR Manager to coordinate company sponsored employee events including birthday celebrations, company picnic and holiday party
  • Assist with processing HR reports
  • Assist HR Manager in the investigations when employee complaints or concerns are brought forth.
  • Performs HRIS data entry and help maintain confidential personnel files, benefit files and personnel changes.
  • Perform other duties as assigned.

QUALIFICATIONS

  • An analytical mind capable of learning quickly, adapting to change, and problem solving
  • Proficiency in MS Word, Excel, and Outlook

EDUCATION AND/OR EXPERIENCE

  • High School Diploma or equivalent/some college prefered.
  • 1+ years of experiene in office/clerical support.

CERTIFICATES, LICENSES, REGISTRATIONS

  • * OSHA 10-hour or 30-hour general industry certification preferred
  • * CPR/First Aid preferred
