Job Summary

Provides project support, administrative assistance and routine clerical services to Vice President, Director and office staff by performing secretarial and clerical duties.

Essential Functions



  • Safeguards and manages confidential and sensitive information, including operational records, reports, and personnel-related documentation, in accordance with company policies and regulatory requirements.
  • Provides administrative support for the annual budgeting and forecasting process, including accurate data entry, tracking, and reconciliation.
  • Prepares, verifies, and reconciles financial documents such as invoices, expense reports, and purchase card (One Pay) transactions, ensuring compliance with corporate controls, audit standards, and established deadlines. Serves as a purchase card custodian as assigned.
  • Processes and submits expense reimbursements and vendor payment requests, coordinating with Finance and Accounts Payable as needed.
  • Develops, edits, and maintains presentations, reports, spreadsheets, dashboards, charts, process guides, and flowcharts, updating data and documenting variances or explanations as required.
  • Utilizes SAP and other enterprise systems to enter, retrieve, verify, and maintain operational and financial data; supports updates to internal databases and tracking tools.
  • Performs core office administration functions including time and attendance tracking, records management, document retention/destruction, and procurement of non-stock office supplies.
  • Support or coordinates departmental initiatives and special projects, including employee engagement activities, community outreach, and nonprofit campaigns.
  • Schedules, organizes, and coordinates meetings, trainings, conferences, and presentations, including room reservations, virtual meeting logistics, and catering arrangements.
  • Manages calendars and schedules for supervisors, managers, or directors, ensuring efficient coordination of meetings and operational priorities.
  • Arranges business travel, including itineraries, airfare, lodging, and ground transportation, in alignment with company travel policies.
  • Provides general administrative and clerical support, including document distribution, mail handling, scanning, copying, and electronic filing.



Education Description

Requires a minimum of a high school diploma or equivalent.



  • An associate degree is preferred.



Experience



  • Requires at least two (2) years of related work experience.
  • Requires strong written and verbal communication skills and dedication to customer service.
  • Experience using SAP and COUPA preferred.



Working Conditions



  • Required to participate in CenterPoint Energy's All Hazard Operation Plan (AHOP).
  • Able to work regular hours, with occasional or mandatory overtime, may be required to work rotating shifts.
  • Able to work in a fast-paced environment.
