Job Summary

The Executive Assistant will work directly with the leadership team members with extreme attention to detail and organizational skills to proactively identify and optimize processes, support the implementation of the company strategy, driving key initiatives with cross functional leaders. May perform complex administrative duties in support of the executive and leadership teams in their roles, when requested, by taking over specific responsibilities or handling other day-to-day items.

Successful employees have a bachelor's degree in business or another related field and five years of relevant work experience supporting an executive, enterprise level team, preferably in a high-growth, technology start up environment. Must continuously demonstrate the ability to quickly become an expert on C-Suite level topics with limited knowledge or context, anticipating business needs and aligning project plans and actions with company priorities and key initiatives.

This is an exempt role and is a member of the Executive Leadership Department reporting directly to the Chief Executive Officer with a location of Raleigh, NC.

Allbridge is currently operating under a hybrid work model, allowing colleagues the opportunity to connect with others in person and the flexibility to work remotely. For some business groups and positions, job function requirements may require more time at the primary work location, while greater flexibility may be in place for others.

Essential Job Functions and Responsibilities

  • With limited supervision, has authority to exercise independent judgement and act as an administrative liaison between the CEO and other executives, clients, and stakeholders to ensure consistent communication, cadence, accountability, involvement, and/or decision-making. Often called upon to interpret and communicate executive or board's intent, and or company policy to other employees. May make contacts of a sensitive, complex, and confidential nature.
  • Work directly with the leadership team members with extreme attention to detail and organizational skills to proactively identify and optimize processes, support the implementation of the company strategy, driving key initiatives with cross functional leaders. May perform complex administrative duties in support of the executive and leadership teams in their roles, when requested, by taking over specific responsibilities or handling other day-to-day items.
  • Recognized as subject matter expert and advanced individual contributor performing administrative duties with discretion in support of the CEO's success, prioritizing appropriately (i.e., manage the CEO's and senior leadership team members calendar, travel, conference calls, event schedule, draft letters, emails, expense reports, other correspondence, etc.).
  • Has authority to lead and make recommendations to drive productivity and direction in meetings, tracking action items and assuming responsibility for completion of them.
  • With limited supervision, lead the organization, agenda, integration planning and tracking for executive and Merger & Acquisition (M&A) cross functional team meetings.
  • In accordance with company standards, drive the Quarterly Business Review (QBR) planning and execution, setting expectations that all milestones are defined and delivered, both prior and post QBR.
  • Maintain the Executive Leadership Calendar (weekly, monthly, quarterly and annually), connecting weekly with leaders on upcoming initiatives.
  • Lead executive-level operational processes in a fast paced cross-functional environment, acting as a highly- efficient and productive multitasker; remaining self-motivated and flexible, setting the example for an intrapreneurial and collaborative work culture.
  • Strong analytical skills and ability to use data to build and refine strategic recommendations.
  • Excellent communication, presentation, and interpersonal skills. Experience communicating, collaborating with, and influencing executives and team members.
  • Work in cooperation with all office location points of contact, plan and execute corporate employee engagement events in partnership with HR (i.e., weekly, quarterly, holiday parties, etc.).
  • Participate in training and education sessions and the new hire onboarding program as requested and appropriate, supporting employee's cultural integration, learning, and development.
  • Lead the headquarters' office and employee resource needs, in coordination with ancillary office location points of contact, including ordering office supplies and lunches and is responsible for mail.

  • Must remain flexible to support after hours as needed and travel to support various current and prospective client and sales opportunities.
  • Other miscellaneous duties as assigned.

Required Qualifications

  • Successful completion of a bachelor's degree from an accredited university (or international equivalent) in business, management, finance, economics, communications, or another related field.
  • Required to have a minimum of five years of relevant work experience supporting an executive, enterprise level team, preferably in a high-growth, technology start up environment.
  • Must have a demonstrated ability to conduct professional level group presentations and or communicating with a diverse audience with sensitivity.
  • Consistently demonstrates excellent problem solving, leadership, and customer service skills.
  • Must have a demonstrated ability to collaborate, operating with a high sense of urgency, professionalism, integrity, and ethics.
  • Must be extremely flexible, an outstanding communicator, and have established skills in accuracy, organization, and time management.
  • Must continuously demonstrate the ability to quickly become an expert on C-Suite level topics with limited knowledge or context, anticipating business needs and aligning project plans and actions with company priorities and key initiatives.
  • Must be able to work effectively as a team member in a fast paced, and high-volume work environment, operating with a high level of detail and conscientiousness.
  • Required to have demonstrated intermediate level PC skills with the ability to effectively operate within a Windows Operating System and Windows based programs such as Microsoft Excel, Word, Outlook, SharePoint, Teams, and Project.
  • Strong preference to have experience with cloud-based collaboration tools (i.e., SmartSheets).
  • Must possess excellent written and verbal communication skills, as well as interpersonal skills with a customer service focus in the English language.
  • Must be authorized to work in the United States without sponsorship.
