Assistant Project Administrator CEI

Halff is seeking an Assistant Project Administrator to support the efficient execution of Construction Engineering and Inspection (CEI) projects in the Jacksonville Florida region. This position will collaborate closely with the Senior Project Engineer, Project Administrator, Inspectors, and other team members to ensure high quality projects are delivered on time and within budget.

This position works under the general supervision of the Project Administrator and Senior Project Engineer.

What you will do:

• Assist in the maintenance of project documentation, including contracts, schedules, budgets, and progress reports
• Coordinate project-related activities, including meetings, site visits, and client interactions
• Collaborate closely with project managers and engineers to ensure seamless project execution
• Assist in monitoring project timelines and milestones, identifying potential issues and proposing solutions
• Assist in the preparation and submission of project proposals, bids, and RFQs.
• Assist in the support of financial aspects of projects by tracking expenses, invoices, and budgets
• Assist in the preparation and distribute meeting agendas, minutes, and follow-up action items
• Conduct research and gather data to support project decision-making and planning
• Assist in quality control by reviewing project deliverables for accuracy and compliance
• Provide mentorship and guidance to junior project and support staff

What you will need:

• High school diploma or equivalent required
• Basic understanding of project management principles and methodologies
• Good organizational skills with a keen eye for detail
• Good communication and interpersonal abilities
• Ability to manage multiple tasks and projects concurrently
• Developing problem-solving and critical-thinking skills
• Familiarity with engineering terminology and construction processes
• Moderate experience in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Experience in contract management and procurement processes
• Demonstrated leadership and team collaboration skills
• High level of discretion and ability to handle sensitive and confidential information
• Strong time management skills and ability to work under tight deadlines
• Moderate experience in project management software such as Primavera P6, Microsoft Project, or similar tools
• Demonstrated experience in project coordination, documentation management, and team collaboration
