SUMMARY:
The Lead Medical Assistant reports to the Practice Manager/Director of operations under guidance from the Medical Director. Under the general supervision and in accordance with established policies and procedures, coordinates daily activities of Medical Assistants. May need to assist in the development of staff schedules and work assignments to provide for efficient practice operations. Ensures adherence to established standards of safety and quality by medical assistant staff. Provides guidance to support personnel in collaboration with the Practice Manager/ Director of Operations and providers. May routinely perform the duties of Medical Assistant. When needed, willing to travel between current and new urgent care centers to help train and support with clinical responsibilities.Provides daily oversight of all Lab tracking, including labs, tests, and procedures. Follows up to ensure that current lab results are received and reported in the patient's Electronic Medical Record (EMR). Ensures that all abnormal results are reported to physician/provider immediately.Communicates staff schedules and ensures centers re appropriately supported by medical assistant staff.Maintains patient access to care, appointment availability, and efficient daily operations.Assists the Practice Manager in daily coordination of Medical Assistants to ensure efficient patient flow and the appropriate and timely follow-up of assigned tasks (in-basket items).Functions as resource to staff to clarify schedules and practice administrative processes.Participates in interview and selection of Medical Assistants. Provides orientation for new Medical Assistants.May monitor inventory levels to ensure supplies; equipment and instruments are on hand to meet anticipated needs. Reorders supplies as necessary and within level of authority. Refers orders beyond level of authority to manager. Ensures timely receipt of materials ordered, follows up as necessary to determine reason for delays. Ensures materials are stored appropriately upon receipt.May ensure functional reliability of equipment; identifies malfunctions and makes minor repairs and adjustments. Refers more complex problems to appropriate vendors for resolution. Coordinate's maintenance and janitorial needs within department and in area of responsibility. Requests service from maintenance and janitorial vendors and maintain records of services provided. Evaluates quality of service provided. Communicates and resolves issues with appropriate vendors.Ensures all activities meet or exceed customer expectations. Develops, maintains, and enhances relationships with others within and outside the practice, including practice staff, patients and families, vendors, and others within the Brown University Health systems.Actively participates in committees and/or work teams. May lead practice teams related to quality improvement.Maintains and enhances own professional expertise through participation in seminars and meetings and through active pursuit of courses in leadership.Performs duties of a medical assistant and provides coverage for the practice. Adheres to Medical Assistant criteria as reflected in Urgent care Medical Assistant - Ambulatory job description as listed below:Greets patients, performs registration check-in functions, answers phones, schedules patient appointments, obtains referrals and authorizations, processes forms, and performs discharge process.Oversees patient financial process to ensure patient payments (co-payments, deductibles, self-pay) are obtained at time of service and are properly processed.Verifies that all necessary information is complete and accurate, demographics, referrals, authorizations, billing codes, diagnoses information, etc.Provides clerical support for the practice. Orients and serves as a resource to new employees regarding department policies and procedures.Prepares patients for examination and treatment in accordance with their clinic specific workflow protocol, by escorting from the waiting area to the exam room. Takes vital signs, weighs patients and records in patient chart. Enters in patient chief complaint, medication reconciliation, histories, and other services as outlined in workflow protocol. Notes all patient health concerns into EMR. Record the patient pain score. Completes all questionnaires in the patient's chart.Ensures effectively patient flow throughout the practice, clinic, and office.Reviews Health Maintenance and Chronic Illness services and performs/orders according to protocols and standing orders.Performs testing procedures such as blood pressure, EKG, pulse oximetry, Hgb A1-C, glucose, urinalysis, urine hcg, rapid strep test, and other point of care tests.Records allergy information medications, medical, surgical, and family histories in the patient chart. Initiate's pharmacy benefits verification.Assists physician with physical examinations. Performs all procedures using aseptic techniques, following standard procedures.Assists provider with all physical examinations. Performs all procedures using aseptic techniques, following standard procedures.Administers vaccines and places PPDs as per practice/clinic protocol.Completes appropriate follow-up up work after visit including, but not limited to, ensuring all blood and specimens are properly labeled, recorded, and sent to lab.Follows up to ensure all lab results are entered in the medical record. Tracks orders and results. Contacts patients for outreach and reminders for labs/orders. Updates EMR with status. Reports all abnormal lab results to physician or nurse immediately.Follows up on referrals for specialty care and/or other services. Tracks consult reports and ensures EMR is updated accordingly. Contacts patients for outreach and/or reminders for referrals.Checks for prescription refills pending.Ensures examination room is cleaned between each patient and set-up appropriately for next appointment.Thoroughly explains programs, procedures and correct preparation for various tests and exams. Provides education to patients regarding the importance of coordination of care and the prudent use of emergency rooms when seeking care. Documents identified barriers.Schedules tests and follow-up appointments. Pre-registers patient for next visit. Verifies patient demographic and insurance information. Obtains prior authorizations as needed.Monitors and orders supplies and keeps room stocked. Cleans medical equipment. Reports broken or missing equipment to manager immediately. Ensures exam rooms are prepared for each patient. Check's expiration dates on medications and supplies, removes, and reports expired medication to Practice or Clinic Management.Assists with administrative office duties. Mail's reminders and other letters to patients.Manages time effectively. Fills slow periods with activities to prepare for future needs. Minimizes non-productive time.Maintains quality assurance, safety, environmental, and infection control in accordance with established hospital department policies, procedures, and objectives.Protects and preserves the patient's right to privacy and confidentiality.Maintains a position attitude and actively engages in the team approach of caring for patients.Supports the goals and concepts of the patient centered medical home by demonstrating flexibility and willingness to change.Performs other related duties as required. MINIMUM QUALIFICATIONS: BASIC KNOWLEDGE:High School graduate or equivalent. Completion of accredited certified medical assistant training program required.Demonstrates knowledge and skills necessary to provide care to patients throughout the life span with consideration of aging processes, human development stages and sensitivity to cultural diversity in each step of the care process.EXPERIENCE:Three to Five years' experience as a medical assistant preferred, including medical office procedures and terminology. Must demonstrate excellent written and oral communication skills and effective prioritization and organizational skills. Experience should demonstrate effective organizational, leadership and communications skills to effectively develop effective staff and provider schedules, ensure effective patient flow and function as resource to medical assistant staff.SUPERVISORY RESPONSIBILITY:Functions as a lead or resource person for Medical Assistants - Ambulatory.
