PRIMARY FUNCTION

The Worklab Coordinator plays a pivotal role in delivering an exceptional client and team experience within our Worklab (Showroom) environment while driving operational excellence through project coordination and leadership. This hybrid position combines hospitality, project management, and team leadership to ensure seamless execution of client engagements and internal initiatives.

PRINCIPLE DUTIES AND RESPONSIBILITIES

Worklab Lead

  1. Serve as the primary point of contact for clients visiting the Worklab, ensuring a welcoming and professional environment.
  2. Oversee daily Worklab operations including answering phones, greeting guests, coordinating tours, and visitor logistics.
  3. Maintain supply inventory, manage mailing and shipping support, and track Worklab-related budget items.
  4. Create and maintain office policies, procedures, and standards.
  5. Assist with planning and executing client events.
  6. Manage catering orders and event setup.

Project Coordinator

  1. Create quotes and orders using internal systems.
  2. Coordinate client orders and projects from proposals through installation.
  3. Monitor and communicate ongoing order status.
  4. Review vendor acknowledgments and resolve discrepancies.
  5. Track shipping schedules, expedite orders, and resolve delays.
  6. Prepare and maintain client status reports; submit invoices when applicable.
  7. Support project teams with documentation and punch-list resolution.

Requirements

MINIMUM JOB REQUIREMENTS

  • High School Diploma or GED
  • 2+ years administrative, office management, or client support experience
  • Ability to work overtime when necessary
  • Ability to adjust schedule for events or deadlines
  • Proficient with Microsoft Office applications
  • Strong keyboard skills

DESIRED JOB REQUIREMENTS

  • 4-year degree
  • 2+ years' experience in client support role
  • Commercial Furniture Industry experience
