Job Summary

The incumbent will be responsible for aspects of staff, student, faculty and non-faculty academic recruitment, appointment, onboarding, extension and separation according to UC policy. They will assist with departmental personnel and payroll activities for faculty, staff, academic and non-faculty employees, national and international academic, graduate and undergraduate student employees, and volunteers. The incumbent will respond to requests from all levels of campus including applicants, students, staff, faculty, the School of Medicine Dean's Office on Academic Personnel, the Vice Provost of Academic Affairs, Human Resources, Compensation and Payroll. The incumbent will process visa actions in collaboration with Services for International Students and Scholars (SISS) for foreign nationals working on or visiting campus for assigned title codes.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • High School diploma or GED or equivalent experience
  • Experience with human resources processes, systems, and personnel administration including handling confidential information.
  • Experience with a paper free, virtual office environment.
  • Experience working with word-processing, spreadsheets, e-mail, web explorer, financial and payroll systems software.
  • Experience in payroll processing with an automated system and payroll calculations.
  • Experience reviewing and preparing time reporting documents and/or providing payroll services.
  • Writing skills to independently compose official letters, position descriptions, interview questions, correspondence, and analyses.
  • Interpersonal, verbal, and written communication skills to clearly and effectively interact with a diverse group of individuals to secure and/or provide information to clarify situations, provide training, resolve problems, and provide feedback.
  • Analytical and fact-finding skills to elicit information with discretion to clarify inquiries and requests; to develop creative solutions to general problems, initiative to attempt unfamiliar projects/assignments; and to respond with flexibility to requests for assistance.
  • Ability to achieve timely progress on multiple simultaneous projects, meet tight deadlines and maintain a high level of productivity.
  • Proven auditing and analytical problem-solving skills for the identification and resolution of unique and unforeseen problems in a logical, timely, creative manner, documenting actions so information will be available at a future date.

Preferred Qualifications

  • Bachelor level degree, related to Human Resources
  • 2 years direct HR experience.
  • Experience working for university, government, or non-profit.
  • Experience with collective bargaining agreements.
  • Experience working with student employees.
  • Experience working with research labs and Faculty members.
  • Experience with the structure and function of the UC Davis Human Resources Office, UC Davis Benefits, UC Davis Employee Labor and Relations, UC Davis Leave of Absence Office, Risk Management, and UC Davis Workers Compensation.
  • Experience with VISA processing.
  • Knowledge of and experience with UC platforms including Ecotime, RECRUIT, MIV, UC Path, AggieService, People Admin, Banner, AggieTravel, and other UC internal systems.
  • High degree of skills working with confidential information.
  • Knowledge of Academic titles and understanding of categories of University employees.

Department Overview

The Department of Pathology and Laboratory Medicine is a large, diverse, multi-site department whose mission is to be scientific leaders who promote excellence through clinical diagnostics, next generation innovation, collaborative discovery and world class education in service to all communities. UC Davis is leading the way in diagnosing, treating, and ultimately preventing disease. Pathology brings these tools together with education and patient care to transform the field. This position sets the highest standards for professionalism and administrative competency as the department continues a period of growth and restructuring. The department has over $12 million in external research funding which supports multi-disciplinary research in neuroscience, cancer, computational pathology, and healthcare delivery science, and co-leads the Center for Diagnostic Innovation. Education is provided at many different levels, including highly ranked required courses and electives for medical students, 16-person residency program, 7 fellowships, and participation in graduate programs. Departmental academic operations are conducted within central administrative offices in various locations at the Medical Center in Sacramento and in research space on both the Sacramento and Davis campuses.

Department Specific Job Scope

This position will perform a variety of human resource, academic personnel, and payroll actions to include general administrative support. Under the direction of the Dept. HR Manager, this position is one of 2 HR/Payroll Coordinators who are responsible for daily Human Resource activities in the Department of Pathology and Lab Medicine within the School of Medicine. The incumbent will be expected to think strategically and demonstrate sound judgment and decision-making skills, especially in complex or ambiguous situations. Must proactively assess benefits/risks and consider long-term implications before taking action or providing recommendations. Daily duties will include Human Resource related actions, tasks, and projects.
