Medical Appointment Clerk - Trainer

Coho Integrated Solutions is seeking a reliable and detail-oriented Appointment Clerk Trainer to support patient scheduling and clinic operations at Wright-Patterson Air Force Base. This role performs full appointment clerk duties while serving as a subject matter resource for training, onboarding, and process standardization for appointment clerks in accordance with Military Treatment Facility (MTF) guidelines.

This is a non-exempt, working role that focuses on training support and operational consistency rather than supervisory authority.


Responsibilities (include but are not limited to):


  • Perform all standard Appointment Clerk duties, including scheduling medical appointments via phone, secure messaging, or other approved request methods in compliance with local appointing guidelines and access-to-care standards.



  • Maintain appointment schedules using government medical systems such as CHCS, AHLTA, or MHS GENESIS.



  • Validate patient eligibility through the Defense Eligibility Enrollment System (DEERS); update demographic information and register new patients, including newborns, as required.



  • Ensure patient schedules, logs, and appointing data remain accurate and current through proper use of system tools and protocols (detail codes, freezing slots, TRICARE Online) for slot management, rescheduling, and cancellations.



  • Contact patients via phone or secure messaging to schedule, reschedule, or cancel appointments as needed.



  • Assist in preparing and issuing patient notifications related to appointment reminders, no-shows, and cancellations.



  • Create and deliver telephone consults (t-cons) to Primary Care Managers (PCMs) and clinic nursing staff in accordance with standard protocols and clinic guidelines.



  • Support onboarding of new appointment clerks by providing task-level training, system navigation guidance, and process walk-throughs in accordance with approved procedures.



  • Reinforce standardized appointing workflows, scripts, and documentation practices to ensure consistency and compliance across clerks.



  • Provide real-time guidance and clarification to clerks regarding scheduling procedures, eligibility validation, and system use.



  • Assist with refresher training and updates when appointing rules, access-to-care standards, or system changes occur.



  • Identify recurring training gaps or process issues and communicate observations to the Lead Appointment Clerk or designated supervisor.



  • Assist with development and maintenance of training materials, desk guides, and job aids, as directed.




Essential Job Qualifications and Requirements:

Education:




  • High School Diploma or General Educational Development (GED) equivalency.




Experience:




  • Experience with MHS GENESIS preferred.



  • Prior experience as an Appointment Clerk or in a military medical scheduling or patient administration role required.



  • Experience providing peer-to-peer training, mentoring, or onboarding support preferred.
