Job Summary
Under the general direction of the Chief Business Officer; Executive assistant Dean, the CPE Facilities Coordinator leads day-to-day facilities operations for CPE locations and serves as the primary backup for the executive assistant. The role ensures safe, reliable, and cost-conscious building operations; exemplary office environments for CPE team members; and smooth coordination of all events and exceptional uses of CPE spaces by internal units, campus partners, and the broader community. The CPE Facilities Coordinator plans and coordinates with campus on all repairs, preventive maintenance, and life-safety programs; serves as the emergency point of contact; and partners closely with central Facilities, Risk, Fire Marshal, Police, IT/AV, and other campus units on division wide operational problems and solutions. The position uses sound judgment and a proactive, detail-oriented approach to evaluate needs, implement solutions, and communicate clearly with CPE leadership, staff, tenants, and external users.
As the backup to the Dean's Executive Assistant, this role serves as a critical coordinator of high-level calendaring, team meeting coordination, and executive support. It has exposure to the senior most level of the organization and forms part of an essential team that ensures that the office works smoothly at all times, exercising sound decision making and confidentiality in all matters. - Required to hold a valid California driver's license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program
- Bachelor's degree and/or equivalent combination of education and experience.
- Experience in facility and/or event management to include space and vendor management, policy and code compliance, risk management and ensuring a safe environment.
- Intermediate experience and proficiency using basic and intermediate features of business software such as MSOffice, business systems, and ticketing systems.
- Customer Service and communication skills to effectively and professionally communicate with management, staff, students, and members of the community.
- Skill to maintain excellent follow-through with tasks, customer relations, and expectations of the division.
- Skill to anticipate and analyze problems, devise and implement changes and solutions.
- Organizational skills to manage, monitor and track numerous and varied projects, ensuring timely completion.
- Written communication skills to prepare a variety of correspondence, reports, policies and procedures, and training documents.
- Active listening, interpersonal communication and problem-solving skills to effectively resolve questions, concerns, issues or problems and ensure cooperative and productive working relationships.
Preferred Qualifications
- Experience working as an assistant or providing support to an executive or executive team.
- Experience scheduling and calendaring in support of others.
- Some scope of knowledge in the technical aspects of facilities, such as safety, heating, ventilation, and air conditioning (HVAC systems); electrical; plumbing; telecommunications; structural; office furniture; grounds; custodial; and security systems.
- Knowledge of general purchasing principles, practices and legal implications, using sound buying judgment, with knowledge of sources and selection criteria.
- Past history managing or monitoring a ticket-based system, both responding to tickets and managing them through a complex routing process.
- Skills supervising, hiring, training, evaluating and managing student employees.
