Position Overview: The Business Office Assistant plays a key role in ensuring the smooth day-to-day operations of the organization. This position primarily works out of the Tides West Warwick location and supports both administrative and finance functions, providing front-office coverage, maintaining inventory and supplies, assisting with data entry, and coordinating logistics for meetings and events. The ideal candidate is highly organized, detail-oriented, and comfortable balancing multiple priorities in a fast-paced, mission-driven environment.

Essential Functions:

  • Serve as the first point of contact for visitors, clients, and staff, greeting guests, answering phones, and monitoring the main entrance.
  • Sort, distribute, and process incoming and outgoing mail and deliveries.
  • Maintain a professional, welcoming, and organized front office environment.
  • Maintain office supply inventory across all of TFS' locations; track usage and reorder as needed.
  • Coordinate maintenance or repairs of office equipment as needed across all TFS locations.
  • Support meeting and event logistics, including room setup, refreshments, and cleanup.
  • Assist with general clerical duties such as scanning, filing, and document organization.
  • Enter financial data (e.g., invoices, receipts, and deposits) under the direction of the Bookkeeper.
  • Support donation tracking and development-related data entry.
  • Maintain accurate and organized records for finance and administrative functions.
  • Provide administrative support for organizational projects and initiatives as assigned.
  • Collaborate with staff across departments to ensure office processes are efficient and consistent.
  • Uphold confidentiality and professionalism in handling sensitive information.

Requirements

  • High school diploma or equivalent required; associate's degree or related coursework preferred.
  • Minimum of 2 years of administrative, office, or bookkeeping support experience.
  • Valid driver's license and reliable transportation - Required
  • Bilingual (English/Spanish)-Preferred

Knowledge, Skills, and Abilities:

  • Strong organizational and time management skills with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with data entry systems.
  • Excellent written and verbal communication skills.
  • Ability to multitask and work both independently and as part of a team.

Salary Range: $17.30-$22.00 per hour

Compensation will be determined based on the candidate's experience, education, language capacity, skills, and other qualifications relevant to the role, in alignment with organizational parity guidelines and market conditions.
