Job Description

Position Summary

The Business Support Specialist II provides essential financial and administrative support to both the Landscape Services and Construction Services department, with a primary responsibility for Landscape Services operations. This position plays a key role in ensuring financial accuracy, compliance, and efficiency across a wide range of departmental activities. The ideal candidate is detail-oriented, organized, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities:

Landscape Services Management
* Complete income statement report checklists by department ID.
* Establish and maintain job setups, including securing funding approvals and monitoring job progress.
* Reconcile labor and material costs, verify charges, and resolve discrepancies through collaboration with Landscaping Supervisors.
* Ensure financial data integrity through accurate uploads and timely reporting.
* Creation of work orders, including detailed description and budget.

Credit Card Reconciliation
* Collect, review, and reconcile credit card statements for Landscape Services and Construction Services.
* Verify correct coding of all transactions and confirm receipt documentation.
* Identify and address discrepancies to maintain accounting accuracy and compliance.

Budget to Actual Reconciliation
* Prepare and update monthly budget-to-actual reports and projections for multiple departments.
* Analyze variances and provide clear, data-driven explanations and recommendations.

Additional Duties
* Support fleet management and related financial tracking.
* Assist in rate-setting analyses, reporting, and internal discussions.
* Conduct account audits and complete other assigned accounting projects as needed.

Shift

7:30 a.m. - 4:00 p.m. or 8:00 a.m. - 5:00 p.m.
Monday thru Friday

Minimum Qualifications

An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

* Strong team player with the ability to work independently.
* Advanced proficiency in Microsoft Office (Outlook, Word, Excel).
* Proactive planner with excellent task prioritization and a commitment to delivering high-quality work on time.
* Excellent time management skills and a proven ability to meet tight deadlines.
* Must possess and maintain a valid State of Missouri driver's license or a valid out-of-state driver's license with the understanding a Missouri driver's license must be obtained within the first six months of employment.

Anticipated Hiring Range

Salary Range: $20.00 - $24.95 per hour
Grade: GGS-007
