Responsibilities:

We are seeking a dedicated and detail-oriented Rehab Tech-PT Schedulerto join our team. This role combines patient-facing responsibilities with critical scheduling and departmental support to ensure smooth operations and exceptional care delivery.

Additional Job Duties:

  • Deliver exceptional patient and family experiences using CARES, AIDET, and EPE tools

  • Address and resolve complaints promptly; escalate to supervisor when needed

  • Round with waiting patients to ensure comfort and communicate delays

  • Assist therapists and clinicians with patient care and departmental duties

  • Set clear expectations regarding prior authorizations, referrals, and out-of-pocket costs

  • Coordinate invasive procedure scheduling (inpatient/outpatient) and provide non-clinical instructions

  • Ensure prior authorizations, certifications, and referrals are secured before procedures/tests

  • Guide patients through Release of Information (ROI) processes and ensure proper documentation

  • Conduct confirmation and reminder calls, including directions and visit-specific instructions

  • Respond quickly to patients in distress and assist clinical teams as directed

  • Perform basic cleaning and upkeep of the Rehab Department

  • Manage appointment reminders, rescheduling, and provider schedule accuracy

  • Collaborate with clinicians and management to maximize scheduling efficiency

  • Support new program development and participate in environmental rounding

  • Restock supplies, maintain service logs, and monitor inventory/expiration dates

  • Prioritize tasks effectively and escalate concerns to licensed clinicians or management

Qualifications:

  • High school diploma or equivalent required

  • Short-term training in Medical Terminology.

  • Minimum 9 months experience in a healthcare office or clinic setting with significant clinician interaction.

  • Prefer Proficiency in prior authorization/certification/referral process

  • Must pass Epic trainings for rehab tech and scheduling positions

  • Working knowledge of CPT and ICD-10 coding

  • Pass annual competency exam for all areas of responsibility.
