Job Description and Minimum Qualifications

Located in San Francisco, California, the Legal Secretary position will report to the Administrative Office Manager and is responsible for providing high-quality administrative and clerical support to a team of attorneys. This includes, but is not limited to:

  • Prepare, format, proofread, and file legal documents, including pleadings, motions, and correspondence, in accordance with state and federal court rules
  • Handle e-filing and court submissions for state and federal courts with precision and timeliness
  • Apply advanced Microsoft Word formatting including tables, numbering, styles, redlines, TOCs, TOAs, and headers/footers
  • Prepare client billing, including review and edit of proformas as directed by billing attorney, preparation of cover letters, and sending out finalized bills to client and Accounting Department
  • Prepare new case reports, run conflict checks, open new matters, and create engagement letters
  • Coordinate litigation calendaring with docketing department, ensuring deadlines, hearings, and discovery cutoffs are accurately tracked
  • Schedule depositions, hearings, and meetings, organize court reporters, coordinating schedules as appropriate for practice of team attorneys
  • Maintain client files and case management systems, ensuring all records are organized and up-to-date
  • Process expense reimbursements and vendor invoices

The person in this role must be highly experienced with State and Federal court filing, including e-Filing; have substantial proficiency in MS Office Suite; superior attention to detail with the ability to juggle multiple projects at once; and thrive in a fast-paced, deadline-oriented environment. Scheduling flexibility is a must to support periods of heavier workload or special projects.

Minimum of 5-years of legal secretarial experience in a relevant practice area (civil and IP litigation), with at least 2 years of experience supporting a billing attorney. High school diploma or equivalent is required; college degree a plus but not required.

Salary

This is an hourly, non-exempt position that is eligible for a generous overtime plan that exceeds minimum legal requirements. The anticipated good-faith annual base salary range for this position with a work schedule of 37.5 hours per week is $73,000 - $110,000 per year.

Your exact offer will be based on a variety of factors, including but not limited to, geographic location, experience, skills, and overall qualifications. In addition to a competitive base salary, certain positions are eligible for a comprehensive performance-based bonus, payable monthly or annually.
