Ball State University is searching for a service and detail-oriented person to join our team in the College of Sciences and Humanities. This position is responsible for maintaining an accurate and vibrant course schedule within the college and functions as the principal coordinator between the college departments and theCSHDeans Office in creating and maintaining that schedule.

What you'll do and what you'll bring:

Position Function: The Lead Schedule Specialist for the College of Sciences and Humanities serves a critical role in creating and maintaining an accurate and vibrant schedule within the college and functions as the principal coordinator between the departments and theCSHDeans Office. This position serves as a lead for two part-time Schedule Specialists withinCSHto promote coordination with not only the college schedules but also with faculty loading. This position serves as a primary resource for internal offices with regard to scheduling and loading policies and procedures. Working directly with the college Director of Budget and Resource Planning, this position helps to build accurate and precise faculty load information each of the three semesters.

Duties & Responsibilities:

1. Serve as a lead for the scheduling team, overseeing the work of part-time Scheduling Specialists; train, assist and troubleshoot all areas of the scheduling and faculty load acrossCSH.

2. Train new staff (department chairpersons, administrative coordinator, and department staff) withinCSHwith regard to scheduling and faculty load process and policies.

3. Assist college Director of Budget and Resource Planning in building faculty load schedules; including both instructional and non-instructional load; entering information in Banner in preparation of running theFLACprocess.

4. Monitor, troubleshoot, and manage departmental and college course input into Banner; serve as the main point of contact for all issues related to class scheduling and faculty load.

5. Work with Senior Systems Specialist for Academic Affairs to assist in monitoring data integrity standards for all schedule and faculty load related data.

6. Support college and department initiatives to analyze and plan term-by-term course offerings to maximize schedule effectiveness and a robust set of course offerings.

7. EvaluateCSHschedule requests for adherence to campus policies and procedures; contact college departments for supplementary information and justifications as necessary.

8. Utilize 25Live to maximize efficiency with classroom space allocation; place all Chemistry and Biology classes within FB (Foundational Sciences Building) as part of schedule build process.

9. TrackCSHenrollments for Associate Dean.

10. Collect and organize data for College reports on progress toward meeting Strategic Plan Priorities for Action.

11. Attend weekly schedule specialist meetings conducted by University Scheduling Coordinator.

12. Perform other related duties as assigned.

13. Maintain regular and predictable attendance.

Minimum Qualifications:

  • Associate degree or equivalent combination of education and related experience; or two years of related experience will be accepted in lieu of an associate degree.

  • At least three years of office administrative, secretarial or related experience.

  • Strong organizational skills.

Preferred Qualifications:

  • Bachelor's degree.

  • Experience with academic scheduling systems.

  • Banner experience; supervisory experience.

  • Some experience using R25; project management/coordination.

  • Data entry experience.

  • Familiarity with academic procedures and calendars.

  • Strong communication skills.

  • Ability to work independently as well as collaboratively.
