What you will do
The Project Coordinator I is responsible for driving productivity, profitability, and customer satisfaction for assigned projects through the project delivery cycle. This role partners with branch system teams to manage resources and meet contractual obligations. The position involves accurate and prompt project coordination and the implementation of daily/weekly/monthly/yearly cadence plans to achieve management, financial, company, and customer objectives. Additionally, the role may involve responding to customer and internal business team inquiries, maintaining project records and data, and facilitating any necessary project exception approvals in relation to the Fire Systems business.

Key Responsibilities:

Customer Interaction and Support:

  • Drive productivity, profitability, and customer satisfaction
  • Respond and resolve customer, subcontractor, and internal business team inquiries
  • Develop and maintain viable long-term relationships with customers, subcontractors, and internal business teams
  • Act as a point of contact for inter-departmental partnerships to meet branch business needs
  • Maintain customer contact information to support customer satisfaction activities

Order and Contract Management:

  • Support material ordering and return process and scheduled material is ordered and shipping.
  • Facilitate new customer creation and maintenance of existing customer account details.
  • Facilitate new contract and change order bookings, certified payroll reporting, OCIP/CCIP enrollments and reporting, and other contractual requirements related to the project delivery cycle.
  • Maintain and update current projects to align with customer expectations (e.g., customer bill-to information, project retention withheld, project tax exemption status)
  • Coordinate contract scheduling to align backlog to plan and forecast, ensuring completion of activities within established timeframes (e.g., subcontract invoices, billing, material purchases) to meet monthly financial commitments
  • Generate project billing schedules of values and/or invoices with guidance from project owners to meet customer needs and contract requirements
  • Assist collections and cash teams with accounts receivable activities (e.g., invoice disputes, resolving bad debt and aged invoices, providing customer contact information)
  • Complete contract close-out activities upon project completion, including ready-to-transfer activities, project submittals, editing warranty letters, and reviewing open tasks related to accounts payable and receivable

Meetings and Reviews:

  • Participate in scheduling and monthly backlog review meetings with project owners and fire Systems Leadership.
  • Participate in business review meetings by preparing and discussing critical contract information pertinent to current profitability status (e.g., AR disputes, slippage issues, unbooked change orders, billings).

Compliance and Safety:

  • Ensure that all standard tools, processes, and policies are followed to optimize profitability (e.g., scheduling procedures, SOX compliance, Re-estimating procedures, diversity spend initiatives, continuous improvement).
  • Adhere to all safety standards with a high degree of regard for employee and subcontractor safety.

Other Responsibilities:

  • Complete assigned tasks under general supervision
  • Perform other project support duties as assigned

Experience and Education:

  • High School Diploma or equivalent required
  • Associate degree, University degree, or Technical degree preferred

Skills and Competencies:

  • Ability to deliver output within broad operational targets with significant impact within the job area.
  • Capability to explain facts, practices, and policies to both internal and external parties.
  • Proficiency in correcting or resolving issues or problems in existing systems and processes, making minor changes as needed.
  • Understanding of broader knowledge of theory and principles within a professional discipline or advanced technical/operational practices.
  • Individual contributor with no direct responsibility for leading others.
  • Application of knowledge is narrow (domestic) and limited to locations within a country or neighboring countries with similar culture.

HIRING HOURLY RANGE: $25-31 (Hourly rate to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, location and alignment with market data.)
