OVERVIEW:

Carlson Executive Education is seeking a full-time Admissions & Marketing Specialist who will support the success of its open-enrollment programs through a combination of admissions, marketing support, and enrollment management. Reporting to the Senior Marketing Manager, this role serves as the first point of contact for prospective participants-providing a personalized admissions experience and guiding individuals toward the programs that best fit their career goals.

The Admissions & Marketing Specialist also manages the registration and invoicing process, ensuring accuracy and efficiency at every step, and maintains key participant records in alignment with University standards. In addition, this role contributes directly to marketing and outreach efforts by creating and maintaining promotional materials, updating program webpages, and supporting campaigns that generate and convert leads.

The ideal candidate is a highly organized, detail-oriented professional who thrives in a fast-paced, collaborative environment. They bring strong interpersonal skills and expertise in marketing and admissions to provide an exceptional experience for prospective participants while supporting enrollment and outreach initiatives. A proactive self-starter, they can manage multiple priorities, communicate effectively with diverse stakeholders, and demonstrate a commitment to excellent customer service.

Work Location: The Carlson School of Management, Minneapolis, MN. This is a full-time, in-person position with flexibility to work occasionally in a hybrid manner. Occasional evening or weekend hours may be required during program delivery weeks or special events.

JOB DESCRIPTION:

Admissions (40%)

  • Serve as the first point of contact for prospective participants by responding to inquiries via email, phone, text, Zoom, and in-person meetings.
  • Provide a personalized admissions experience, advising prospective participants on program options and helping them identify the best fit.
  • Monitor the Carlson Executive Education email account and ensure timely, accurate responses.
  • Track and proactively follow up with leads, inquiries, and registrations to encourage enrollment and strengthen relationships.

Marketing Support (40%)

  • Create, update, and proofread marketing materials including brochures, sell sheets, course catalogs, and presentations using Adobe InDesign and Google Slides.
  • Maintain an organized inventory of marketing collateral and coordinate print orders and branded materials.
  • Manage website updates in Drupal, ensuring accurate, current, and user-friendly program content.
  • Partner with the Senior Marketing Manager to design and implement marketing campaigns that generate and convert leads.
  • Develop ads using best practices in copywriting and visual design. Monitor and analyze campaign performance.
  • Maintain dashboards and reports in Salesforce to track enrollment trends, marketing ROI, and other key metrics used by the Carlson Executive Education team.
  • Conduct industry benchmarking and competitive research to inform marketing strategies and support decision-making.

Registration Management, Invoicing & Record Keeping (20%)

  • Register individual participants and groups for open enrollment programs using the University's non-credit course registration system (Destiny One).
  • Efficiently manage course drops, transfers, and refunds, ensuring accuracy and compliance with University policies and providing a smooth participant experience. Track invoices and monitor payment status, collaborating with the University's Central Finance team as needed.
  • Create new course offerings and sections in the registration system as programs are scheduled.
  • Issue digital certificates and badges for participants who complete certificate pathway programs.

Qualifications

Required Qualifications

  • BA/BS Degree or a combination of education and relevant work experience to equal at least four (4) years.
  • Ability to work in person or in a hybrid environment while maintaining high levels of productivity, accountability, and communication with team and stakeholders.
  • Ability to work occasional evenings and weekends.
  • Willingness to learn and adapt to University systems including CRM, registration, and web management platforms.

Preferred Qualifications/Skills

  • Excellent oral and written communication skills.
  • Self-starter with the ability to work independently, multi-task effectively, innovate, and foster teamwork.
  • Proven ability to interact and communicate effectively with a wide range of individuals, including senior leaders and executives.
  • Outstanding customer service skills and strong attention to detail.
  • Proven success working in a fast-paced environment while balancing multiple priorities.
  • Strong problem-solving and project management skills.
  • An analytical mindset with the ability to use data and research to inform decisions.
  • Experience growing engagement or participation in a program utilizing marketing strategies across channels.
  • Experience with Salesforce CRM, Salesforce Marketing Cloud, and Drupal.
  • Experience with Adobe InDesign and Canva.
Pay and Benefits

Pay Range: $45,000-$52,000; depending on education/qualifications/experience

Time Appointment: 100% Appointment
