Pay Range

$77,610 - $113,988 Annually

$77,610 - $95,052 (E01.1) Annually

$93,090 - $113,988 (E01.2) Annually

This is the lowest to highest salary range in good faith we would pay for this role at the time of this posting. An employee's position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.


Job Description

The Project Management Office (PMO) provides LLNL with engineering, design, estimating, construction, demolition, and project management services. PMO provides infrastructure services to enable cutting-edge research and development in the areas of defense technologies, global security, laser science, bioscience, and more. PMO offers cradle to grave infrastructure services to achieve reliable delivery of completed projects with priority on safety, collaboration, and a workforce working toward our shared vision.

We have an opening for a full-time Project Coordinator to administer, organize, and ensure that multiple types of infrastructure construction projects are completed on time and meet high quality standards. The selected candidate will work closely with our Project Management team to achieve various project goals and objectives and will perform various tasks, like maintaining project budgets and documentation, along with various administrative duties. We are looking for someone with excellent time management and communication skills, as they will be collaborating with clients and internal teams to deliver results on deadlines. This position is in the Project Management Office (PMO).

This position will be filled at either the E01.1 or E01.2 level based on skills, knowledge, and related experience as assessed by the hiring team. Additional job responsibilities (outlined below) will be assigned if selected at the higher level.

You will

  • Coordinate efforts for project managers to ensure action items are added, tracked, and reported out on a regular basis.
  • Assist in the coordination, quality, and consistency of baseline changes for PMO projects by coordinating high level institutional approvals, ensuring that the requested changes are compliant with change control policies and procedures.
  • Review monthly data/reporting and coordinate with project teams to make corrections as required.
  • Assist in preparing graphic presentations and information regarding estimating, cost, schedule, and earned value data for meetings and reports.
  • Gather and analyze data to evaluate requirements and specifications to ensure accuracy in quality control documentation and process flow.
  • Assist in the development of project management documents such as monthly and ad hoc reports, decision memos, external responses, and action items.
  • Participate in project design meetings, propose improvements, and help develop solutions if necessary.
  • Plan and manage team goals and project schedules, including communicating with clients to identify and define project requirements, scope, and objectives.
  • Coordinate current projects with all team members to keep workflow on track.
  • Manage project-related paperwork by ensuring all necessary materials are current, properly filed, and stored.
  • Prepare project correspondence, review project proposals, memos, meeting minutes, and emails.
  • Adhere to budget by monitoring expenses and implementing cost-saving measures.
  • Perform other duties as assigned.

In Additional, at the E01.2 level

  • Utilize knowledge of Project Management principles to research, gather, and analyze information (e.g., budget, duration, scope, justification, and deferred maintenance) to be used in complex reporting documentation, audits, and presentations to Division, Department, and Directorate senior management.
  • Create specialized reporting of project status used by multiple tiers of management in the form of regular updates and institutional portfolio budget, cost tracking reports, charts, and graphs.
  • Independently address areas of concern with appropriate follow-up to project managers or PM Department Head.
  • Conduct assessments of current processes, identify improvement opportunities and participate in defining, automating, and improving new and existing business processes and workflows.

Qualifications
  • Ability to obtain and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
  • Associate degree in Business Administration or equivalent combination of education and related experience.
  • Experience with project management and applying related practices, standards, and processes.
  • Experience coordinating workflow activities in a dynamic work environment and ability to meet deadlines and manage changing priorities.
  • Experience effectively applying good judgment, discretion, and problem-solving skills to identify solutions and resolve issues.
  • Ability to work as part of a multidisciplinary team in a technical support environment, collaborating with others, and recommending process improvements.
  • Effective organizational skills, customer support, task prioritization, attention to detail, accuracy, and follow through.
  • Ability to effectively communicate verbally and in writing on project and process activities, as well as assist in the in the facilitation of business process improvements.
  • Demonstrated ability to plan work and coordinate with peers and customers on tasks requiring their collaboration.

In Addition, at the E01.2 level

  • Bachelor's degree in Business Administration or equivalent combination of education and related experience.
  • Advanced experience using Microsoft Office tools for spreadsheets, word processing, and graphics necessary in developing and implementing specialized reports.
  • Proficiency in working effectively as part of a multi-disciplinary team in a technical support environment and ability to use discretion and problem-solving skills to resolve issues.
  • Experience gathering, analyzing, evaluating, and interpreting data for purposes of documenting functional needs and constraints.

Qualifications We Desire

  • Knowledge of Project Management principles: cost, scheduling, estimating.
  • Knowledge of earned value reporting software tools such as MS Project.
  • Strong working knowledge of Microsoft Office Suite, more specifically SharePoint and PowerPoint.

Security Clearance

This position requires a Department of Energy (DOE) Q-level clearance.If you are selected, wewill initiate a Federal background investigation to determine if youmeet eligibility requirements for access to classified information or matter.
