Position Description

Performs responsible and complex duties associated with a specialized function of a section of clerical employees. Duties may be generally described as planning, assigning, coordinating, directing, scheduling, evaluating, verifying, training, and processing of information. Thorough knowledge of policies, procedures, and methods for the area of responsibility is required. Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination. Work is performed under general supervision within University policies and procedures. Job performance is based on overall operational effectiveness.

Major/Essential Functions


  • Dealing with public, including students, faculty, staff, alumni, and any other visitors or callers to the department.
  • Making travel arrangements for faculty, staff, students, and visitors including prospective faculty members.
  • Handling travel forms, reimbursements, vouchers, including travel POs and Budget Revisions needed.
  • Handling acquisitions, TechBuy purchases, orders and maintains office supplies, and handling Pcard
  • reconciliation.
  • Coordinate office hours for faculty. Coordinate textbooks orders for courses and ordering desk/review copies for
  • faculty. Scheduling rooms for faculty. Support of student organizations and student activities for the department.
  • Scanning and filing of materials. Making copies for faculty, TAs, GPTIs, Instructors, and staff. Making
  • documentation binders such as faculty dossiers.
  • Assists daily office administrative routines and daily operations. Handling public announcements, such as
  • seminar announcements. Assists property inventory management and updates. Assists space and room upgrade
  • needs.
  • Other duties as needed.

Knowledge, Skills, and Abilities


  • The attributes required to perform the job that are generally demonstrated through qualifying service, education, or training.
  • Proficiency in written and mathematical processes as may be reflected by the completion of high school or the equivalent.
  • One year clerical experience. Additional education and/or related experience to equal one year may substitute on a year
  • for year basis.

Required Qualifications

A minimum of a high school diploma or the equivalent. Three years progressively responsible clerical experience. Additional education and/or related experience to equal three years may substitute on a year for year basis.

Preferred Qualifications

Computer skills such as Microsoft Office programs. Knowledge and experience with Techbuy, Raiderlink, Ad Astra are preferred. Accurate typing skills and the ability to learn new programs and procedures quickly. Experience with TTU Banner, travel, and P-card processes are preferred.
