Description

Simple Safety Solutions, a business unit of Kee Safety Inc., is a leader in fall-protection and safe-access solutions. With operations spanning multiple states, we serve a broad spectrum of customers and manage complex compliance, financial and project-based activities.

Position Summary:

This is an on-site role. We are seeking an organized, highly capable Accountant/Office Manager to support our day-to-day financial, administrative and operations. While this position does not supervise staff directly, it requires strong coordination and collaboration across departments. The ideal candidate has strong experience in QuickBooks Online, multi-state payroll, accrual accounting, vendor/payment software, contract review and negotiation, and general office management - ideally in a project-centric or construction-support environment.

Key Responsibilities:

Accounting and Financial Operations (70%)

  • Manage and maintain the company's books in QuickBooks Online, ensuring accuracy for accrual-based accounting, journal entries and month-end close.
  • Prepare, analyze and deliver financial reports (P&L, balance sheet, cash flow) and support management decisions.
  • Oversee accounts payable (vendor invoices, payments) and accounts receivable (invoicing, collections).
  • Ensure timely check deposits, bank reconciliations and documentation of all financial transactions.
  • Support the month-end close process (cut-off, accruals, reconciliations, adjustments) to meet reporting deadlines.

Payroll and Compliance

  • Process or oversee multi-state payroll inputs, ensuring correct timekeeping and compliance with relevant state/federal regulations.
  • Handle certified payroll reporting (e.g., prevailing wage projects) with accuracy and timeliness.
  • Coordinate timekeeping reports, verifying schedules and receipt of time entries from project teams.
  • Maintain insurance certificates, business licenses, and other regulatory/compliance documentation; ensure ongoing renewals and up-to-date status.

Vendor/Project Software & Contract Management

  • Utilize vendor billing and compliance software (such as Textura, GCPay, LCP Tracker) for invoice submission, vendor status, compliance tracking.
  • Review, track and assist in contract reading/negotiation: evaluate terms, flag risks, ensure alignment with company policies.
  • Serve as liaison with vendors, subcontractors and internal teams to obtain required documentation and support vendor payment workflows.

Administrative Management (30%)

  • Ensure that receipts, schedules, time entries and documentation are properly collected, filed and tracked for finance and project teams.
  • Support the use and maintenance of project-management/CRM software (experience with JobTread a plus) to ensure data aligns with administrative and financial workflows.
  • Maintain general office operations: supplies, vendor coordination, administrative record-keeping, ad-hoc projects and support as needed.
Requirements
  • 3-5 years (or more) of experience in an office management, accounting/finance or administrative role - preferably within a project-based or construction/contracting environment.
  • Proficiency in QuickBooks Online and Microsoft Office (especially Excel).
  • Familiarity with accrual accounting, month-end close procedures, financial reporting.
  • Experience with multi-state payroll, timekeeping, certified payroll reporting is strongly preferred.
  • Experience with vendor software platforms (e.g., Textura, GCPay, LCP Tracker) and project billing/contract compliance is highly desirable.
  • Strong contract reading and negotiating support capability - ability to understand key terms and flag issues.
  • Excellent organizational, time-management and communication skills; strong attention to detail and accuracy.
  • Ability to work independently, coordinate across teams, manage multiple streams of documentation and meet deadlines.

Preferred Skills

  • Background in construction, contracting, or project-services industry.
  • Experience with CRM/project-management platforms such as JobTread, Buildertrend, Procore, etc.
  • Working knowledge of GAAP and/or accounting best practices.
  • Experience preparing for audits or financial review processes.
  • Familiarity with business licensing, insurance compliance and vendor/subcontractor eligibility systems.
