What You Will Do:

GFT is in search of a dynamic Senior Administrative Assistant to join our team in the Mechanicsburg area! This role will play a pivotal role in providing top-notch administrative support to the business unit's administrative manager and staff across various regions and areas. This role follows a hybrid remote work model.

The GFT Shared Service Services team, which includes Human Resources, Legal, Accounting & Finance, IT Services and Marketing & Communications, is essential for managing and supporting the company's global operations. Shared Services are part of a broader strategy to transform the business and improve efficiency. The support of this amazing team of professionals is the backbone of our ability to deliver infrastructure consulting and design services.

In this capacity, the successful candidate will be responsible for the following:

  • Provides advanced support to the business unit/business line administrative manager, management, and business unit staff with minimal guidance from supervisor.
  • Assist with preparing communications to employees within the corporate business group.,
  • Review and process vendor invoices and tracking of accounts payable,
  • Assist with Company vehicle maintenance and registrations,
  • Support timesheet and expense account review and approvals.
  • Process conference, seminar, and training registrations,
  • Administer employee certification maintenance, and annual resume update support
  • Assist with travel and meeting arrangements,
  • Support with company vehicle mileage log entries,
  • Assist with processing documentation for Onboarding, Offboarding,
  • Responding to inquiries from employees and external entities; and routing complex inquiries and supporting documentation/information to appropriate staff,
  • Assist with document formatting, review and transmittals,
  • Coordinate directly with Shared Services staff to resolve human resources, quality, safety, financial and operational matters.
  • Visibly supporting and providing an efficient communications link between the employees in the Business Line and all company policies, procedures, directives, and activities
  • Supports the administrative needs of the business line field personnel.
  • Administering the Construction Services seasonal leave program including coordinating with HR, Payroll, Administrative Staff, and operations Managers to ensure program compliance.
Education | Experience:
What you will bring to our firm:
  • 7 years' experience as an Administrative Assistant or related field

What we prefer you bring:

  • Associate degree/ BA in related field preferred
  • Excellent communication skills, written and verbal
  • Ability to multitask and prioritize, and problem solve
  • Advanced level computer skills, including MS Office 365 Suite (MS Word, MS Excel); internet, Outlook, and Acrobat Adobe
  • Advanced Organizational skills, attention to detail
  • High level of professionalism and discretion in business matters to handle confidential information
  • Ability to identify, analyze, communicate, and implement process improvements
  • Ability to work with remote management
Compensation:
The salary range for this role is $50,000 - $70,000. Salary is dependent upon experience and geographic location.
