The MGB Biobank is a large-scale research initiative designed to help researchers understand how genetics, lifestyle, and environmental factors influence health. The program incorporates patients through education and recruitment efforts and helps patients make informed decisions about participating in the Biobank research program.
The Senior Research Enrollment Coordinator is responsible for aspects of recruitment, sample collection, and patient engagement activities at MGH sites while working in collaboration with a team that includes a Program Director, Research Coordinators, and several Managers. Responsibilities include the direct functional guidance of a team of 4-5 Research Coordinators. Principal duties may vary over time with project demands and with the skill levels of other staff assigned to the project.
Working under the direction of management, the incumbent will provide, coordinate, and lead support for on-site operations of the Biobank Precision Medicine Research Program, completing key responsibilities to support patient education, informed consent, program enrollment and operations. Work effectively with patients from diverse cultural and educational backgrounds. Collaborate with members of the team and program management, as well as physicians and clinic staff, to align recruitment activities with clinic workflows. Ensure enrollment activities meet protocol requirements and achieve programmatic targets. Maintain program and patient data. Oversee the ordering of phlebotomy and clinical research supplies.
Provide functional guidance to enrollment coordinators, coordinate on-site workflow, serve as a resource for program information, and arrange system access for new employees. As a highly skilled and responsible member of the team, I serve as a role model and adapt as necessary based on evolving project demands.

- Serve as a senior research coordinator on assigned projects, overseeing all responsibilities to support and provide services for the Biobank Research Program.
- Provide functional guidance to a team of enrollment coordinators within the Program.
- Develop and optimize operational workflows, including but not limited to daily tasks, phone recruitment, inpatient prospect data integrity and validation, recruitment follow-up for Biobank collaborative studies, and general support.
- Maintain inventory of supplies across multiple clinic sites, ensuring adherence to standard operating procedures (SOPs), while updating and refining SOPs in collaboration with management oversight.
- Manage training and orientation plans for new hires, interns, or volunteers, and oversee their integration into the team. Train new coordinators on research procedures as needed, ensuring a comprehensive understanding of the protocol and consent process.Provide ongoing assessment and feedback to management on the competency of research staff and interns.
- Act as the first point of contact for participant concerns, complaints, and incidents, escalating issues to the manager when necessary.
- Perform quality assurance for Spanish-language materials associated with the Biobank.
Site Coordination
- Work closely with management to oversee program activities at the on-site location, ensuring smooth operations and coordination of Biobank activities, including inpatient recruitment and collaboration with physicians and other medical professionals to ensure successful participant engagement.
- Lead training sessions for collaborators on specialized enrollment tools to support specific knowledge and experience, including familiarity with Biobank-specific training platforms.
- Facilitate community outreach and alliances within the hospital by organizing tabling sessions to increase the visibility and awareness of the Biobank.
- Assist in the development of supporting materials for research coordinators, such as tip sheets, checklists, and FAQs, in both Spanish and English. Ensure accuracy and accessibility.
- Serve as the Spanish-speaking liaison, ensuring clear and effective communication with Spanish-speaking participants and staff.
- Serve as the designated point of contact for the management; provide feedback to management and make recommendations for process improvements.
- Attend monthly executive committee (EC) meetings, reporting relevant updates and information to team members during bi-monthly team meetings.
- Demonstrating excellent evaluation skills, provide vetted and trustworthy feedback on operational processes and participant interactions.
Data Validation and Reporting
- Monitor enrollment documentation and identify data-related issues across multiple collaborating studies. Work closely with coordinators from collaborating studies at various clinic locations to address daily concerns promptly. Ensure that consenting and requisition processes are properly validated and comply with IRB and Biobank guidelines.
Supply Ordering and Management
- Manage and track laboratory supply orders, ensuring timely and accurate fulfillment of needs for the research program (In collaboration with Biobank Manager).
- Track, order and stock clinical and office supplies for hospital and community health centers.
- Track and pick up research incentive meal tickets.
Team Broadcasts and Communications
- Notify Manager and IT operations recruitment team of system down-times and provide consistent status updates via TEAMS to ensure MGH Biobank staff is aware of downtowns and resolutions in a timely manner.

- Provide coverage for clinics as needed.
