This position will be hybrid with requirement to be on-site once per month.

The Member Services Support Representative Supports the customer service team in delivering superior service and engagement to enhance customer retention. Assists in representing the brand image and fostering consumer loyalty. Provides general support by handling winery inquiries received via phone, text, or email. Aids in maintaining the integrity of the member database and contributes to various customer service activities as needed.

A Taste of What You'll Do

Membership Project Support: (50%)

Assists the team in maintaining project completion, fulfilling special requests, and fostering long-lasting customer relationships.

Supports proactive upkeep of member records to ensure current information is always on file, using phone calls, emails, postcards, and text messaging.

Under direction from management helps Identify and execute outbound calling projects.

Membership Integrity Support: (20%)

Assists the team in maintaining retention, facilitating club package success, fulfilling special requests, and fostering long-lasting customer relationships.

Supports proactive upkeep of member records to ensure current information is always on file, using phone calls, emails, postcards, and text messaging.

Order Maintenance Support: (10%)

Provides assistance in processing orders via the online store, email, text, inbound/outbound calls, and high-volume club package orders while ensuring compliance and adherence to internal weather hold instructions. Supports the team in maintaining detailed knowledge of the product portfolio and assists in resolving compliance errors or shipping-related issues.

Tracks DTC shipping orders and delivery statuses, aiding in the resolution of delivery issues such as missed deliveries, redirects, and returns. Conducts outbound communication to address outstanding issues and prevent returned shipments or refunds.

General Customer Service Support: (20%)

Collaborates with the customer service team to deliver a superior level of service, ensuring personal connection with consumers to prioritize the Joy of Wine.

Supports guest concierge activities by providing local directions and information about winery experiences at each location.

Provides assistance with answering high volumes of calls across the company.

What You'll Need

  • High school diploma or State-issued equivalency certificate plus 2 years of wine club administrative support, or customer service experience reflecting increasing levels of responsibility
  • Skilled in the use of MS Outlook at an intermediate level.
  • Skilled in effectively presenting information and responding to questions from groups of managers, clients, customers and the general public.
  • Skilled in reading, comprehending, interpreting and executing simple instructions, short correspondence and memos.
  • Skilled in writing simple correspondence.
  • Skilled in adding, subtracting, multiplying and dividing using whole numbers.
  • Required to lift and move cases of product weighing up to 40 pounds.
  • Required to be legal US drinking age: 21 years of age or older
  • Required to travel to company offices, sites, and/or meeting locations for onboarding, training, meetings, and events for development, department needs, and business delivery up to 5% of the time, with or without reasonable accommodation. This may be in addition to travel requirements, if applicable, as listed in this job description.
  • Required to be 18 years or older. This may be in addition to other age requirements, if applicable, as listed in this job description.

How You'll Stand Out

  • 3 years Wine club administration experience.
  • Wine Industry knowledge.
  • Experience with software programs such as Ship Compliant, Commerce 7, RedChirp, Fulfillment management or member databases/related systems.
  • Excellent oral and written communication skills.
  • Advanced MS Word, MS Excel, MS Outlook.
  • Experience with applying common sense understanding to carry out instructions furnished in written, oral and diagram form. Experience with dealing with problems involving several concrete variables in standardized situations.
