Summary:

In this role, you will provide high-level executive support to a team of Practice Leaders and Managing Directors, serving as a key liaison between the leader and internal/external stakeholders. You will represent Vizient with professionalism and discretion, ensuring seamless operations, proactive communication, and alignment across initiatives.

You'll be responsible for managing complex and confidential assignments that demand sound judgment, critical thinking, and exceptional organizational skills. This role is ideal for a professional who thrives in a fast-paced consulting environment, demonstrates business acumen, and operates with tact, integrity, and initiative.

You will play a pivotal role in enabling the success of the practice and will be expected to model Vizient's values: Be Bold, Be Accountable, Be Inclusive, Be Purposeful.

Responsibilities:

  • Executive Calendar Management: Strategically manage the Practice Leader's time and schedule. Anticipate needs, prioritize commitments, and resolve conflicts to ensure optimal focus on high-impact priorities.
  • Meeting & Event Coordination: Plan, schedule, and execute in-person, hybrid, and virtual meetings. Coordinate logistics, agendas, and materials, and ensure alignment with strategic objectives.
  • Preparation & Research: Conduct background research, draft materials, and coordinate pre-meeting activities. Partner with Consulting Operations and other leaders to ensure readiness and follow-through on action items.
  • Travel & Expenses: Manage complex travel itineraries and ensure expense reports are submitted accurately and promptly in compliance with Vizient policies.
  • Communication & Materials: Prepare, edit, and manage correspondence, presentations, agendas, and other professional documents with precision and attention to detail.
  • Operational Efficiency: Proactively design and implement processes that enhance organization, communication flow, and overall business efficiency for both the executive and team.
  • Project Support: Provide coordination and oversight for special projects, ensuring timelines, deliverables, and outcomes are met.
  • Team Engagement: Support employee engagement initiatives, onboarding activities, and team culture within the practice.
  • Stakeholder Relations: Build trusted relationships across all levels of the organization and with external partners, always maintaining professionalism and confidentiality.

Qualifications:

  • Relevant degree preferred.
  • 5 or more years of experience in a senior executive support role required.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Teams required.
  • Strong project management skills and the ability to manage multiple priorities with precision and composure.
  • Exceptional written and verbal communication skills.
  • Proven ability to exercise sound judgment, discretion, and professionalism in all interactions.
  • Strong organizational skills and a proactive, solutions-oriented mindset.
  • Experience coordinating both small and large-scale meetings and events.
  • Demonstrated emotional intelligence, adaptability, and a collaborative, service-focused attitude.
  • Ability to travel as needed.
  • Based in Chicago, IL, with a hybrid schedule (3 days onsite, up to 5 days as needed) and flexibility for early mornings or evenings when required.

Estimated Hiring Range:

At Vizient, we consider skills, experience, and organizational needs in our compensation approach. Geographic factors may adjust the range estimate and hires typically fall below the top range. Compensation decisions are tailored to individual circumstances. The current salary range for this role is $59,600.00 to $101,200.00.

This position is also incentive eligible.
