The Office of the Provost and Executive Vice President for Academic Affairs is seeking an Executive Scheduler to provide enhanced calendar management and administrative support for the Office of the Provost, overseeing a busy, high-volume schedule using the highest degree of judgment and flexibility in the face of rapidly shifting priorities. This position coordinates and maintains the calendar for the Provost, regularly prioritizing and arranging meetings, conferences and appointments with limited supervision. This position also serves as the first point of contact for those requesting the Provost's attendance at speaking engagements, etc.

This senior administrative support position is expected to maintain the highest standards of integrity, confidentiality, and professionalism in the execution of these duties. This position anticipates and prepares meeting materials on a daily basis to ensure efficient office operations. This position reports to the Assistant Provost for Administration and Operations and serves as a liaison between the Office of the Provost and other departments within or outside the university.

This is an in-person position based at GW's Foggy Bottom campus in Washington, D.C. Responsibilities Include:

  • Supports the Provost and other senior leaders by scheduling and coordinating meetings, assisting with in-person/virtual meeting preparation and set-up, and disseminating briefing materials and information.
  • Works with the Assistant Provost for Administration and Operations to ensure that administrative issues are addressed properly, efficiently and judiciously, and keeps track of progress until resolved.
  • Assists in the preparation, editing and proofreading of documents and presentations.
  • Provides support for Provost Office event planning and logistics.
  • Gathers and summarizes information and research as requested by the Assistant Provost for Administration and Operations when needed.
  • Provides backup support to other members of the Provost Office leadership and administrative teams, ensuring an efficient business operation.
  • Coordinates travel arrangements and reimbursements, preparing and/or overseeing the necessary paperwork required.
  • Appropriately refers inquiries to other departments or persons as necessary.
  • Collaborates with Provost Office staff, as well as staff in other departments to coordinate activities, meetings and events; to accomplish objectives; and to ensure cooperative efforts are enhanced and available resources are utilized.
  • Supports Provost Office outreach efforts by drafting letters, memos, minutes, documents, and other applicable University/School forms; seeks answers and solutions to inquiries.
  • Monitors, verifies and oversees the reconciliation of budget expenditures.
  • Participates in staff meetings when appropriate; completes special projects and performs other related duties as assigned.

Performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
