HJF is seeking a Design & Production Coordinator I to serve as a resource for all internal and external clients in the creation of the Communications Work order tickets. This Coordinator will assign projects to designers and writers and ensure all work orders are tracked and provide requested support to the Communications leadership team.

This position will be in support of the Design team, within our Communications department.

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.



  • Communications Work Orders (CWOs): Record, monitor and maintain information in client/task database. Ensure project requests are accurate, and complete. Record daily assignments and project specifics into department database. Assist supervisors with coordination and prioritization of print production schedules and print specifications.
  • Design & Production Execution: Confer with outside vendors for scheduling and fulfillment of project work. Coordinate communication of production projections, commitments and timetables to customers, identifying changes as necessary. Complete less complex design and print projects as needed.
  • Administration: Attend weekly job status meetings to gather and share information with customers and the design team. Enter purchase requisitions, fulfill invoice payments, maintain vendor records and supply inventory.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.


Education and Experience



  • Associate's Degree is required. Bachelor's Degree is preferred.
  • Minimum of 0-2 years experience required


Required Knowledge, Skills and Abilities



  • Knowledge of general office procedures and production processes.
  • Attention to detail to ensure high-quality final product.
  • Ability to manage multiple projects simultaneously.
  • Good interpersonal and communication skills to effectively collaborate with various stakeholders.
  • Software Proficiency: Macintosh and PC computer proficiency with working knowledge of MS Office software. Adobe CS is a plus.
  • Basic graphic design and project management skills.


Physical Capabilities



  • Lifting: Requires lifting materials over 25 lbs.
  • Ability to stand or sit at a computer for prolonged periods.
  • Ability to climb, pull, and lift heavy objects.
  • Operating motor vehicles, machinery, and/or power tools.


Work Environment



  • This position will take place primarily in an office setting.


Compensation



  • The annual hourly pay range for this position is $24.09-$31.25. Actual hourly pay will be determined based on experience, education, etc.
