Description
We are seeking a highly motivated and organized Junior Project Support Specialist to provide critical administrative, project, and compliance support to the Program Manager, Project Manager, and Deputy Project Manager for a key U.S. Navy Networks program. This entry-level role is ideal for a self-motivated individual eager to learn the complexities of DoD operational systems and the Risk Management Framework (RMF). The primary focus will be on coordination, documentation, data integrity, and ensuring smooth project governance.
Administrative and Programmatic Support
- Executive Support: Provide direct administrative support to the Program Manager, Project Manager, and Deputy Project Manager, including calendar management, scheduling complex multi-stakeholder meetings, and arranging travel logistics.
- Documentation Management: Organize, manage, and maintain project documentation, correspondence, and technical artifacts within designated repositories (e.g., SharePoint, shared drives).
- Meeting Coordination: Prepare agendas, distribute pre-reading materials, attend project and executive meetings, and accurately draft and distribute formal meeting minutes and action item logs.
- Communication: Draft clear, professional internal and external communications, briefings, and status reports for various levels of management and client stakeholders.
Systems Analysis and Compliance Support
- Requirements Support: Assist senior PMs and Engineers in collecting, documenting, and tracing low-level system requirements to support new initiatives and system upgrades.
- Process Mapping: Support the definition and documentation of current ("as-is") and future ("to-be") business and technical workflows using basic flowcharting tools.
- Data Integrity: Ensure the accuracy and consistency of data related to system assets, user accounts, and compliance status within program management tools.
Project Control and Tracking
- Action Item Tracking: Own the comprehensive tracking and follow-up for all project action items and critical due dates, ensuring accountability across technical and administrative teams.
- Reporting: Compile and synthesize status updates from various functional leads (Engineering, Cybersecurity, Logistics) into consolidated weekly and monthly program status reports.
- Financial Administration: Assist the Project Manager with basic task order administration, expense tracking, and resource utilization reports as needed.
Requirements
Experienced with frequent use and application of technical standards, principles and theories. Works under general supervision, providing solutions to technical problems of moderate scope/complexity.
- Education: Bachelor's (or equivalent) with 0-2 years of experience.
- Clearance: Must be a U.S. Citizen and possess the ability to obtain and maintain a DoD Secret security clearance.
- Experience: 0 to 2 years of experience in a professional office environment, with proven proficiency in organizational and coordination tasks.
- Technical Proficiency: Proficient knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for scheduling, data tracking, and report generation.
- Personal Attributes: Must be self-motivated, highly organized, detail-oriented, and possess a strong willingness to learn complex Navy/DoD operational systems and processes.
- Experience using collaboration tools such as SharePoint or Microsoft Teams.
- Familiarity with basic project scheduling concepts or software (e.g., MS Project).
Salary Description
Range: $40K to $65K
