Salary Grade: T24

* SALARY RANGE: $45,000 to $49,000

The Administrative Specialist in the Human Resources Department's Employment Division on Main Campus is responsible for coordinating/performing front desk operations, answering and directing incoming telephone calls from internal and external clients, responding to general inquiries or referring calls to the appropriate personnel; providing phone and in-person support to new hires related to onboarding procedures and providing customer service/administrative support to the HR Assistant Director, Talent Acquisition Specialists, and Business Partners (when needed). The specialist routinely processes Form I-9/E-Verify in accordance with the Department of Homeland Security/USCIS regulations to ensure compliance and utilizes HR-related systems such as Taleo, CUPA-HR I-9 Consortium, Banner, TU portal, and other applicable systems to perform daily tasks, while maintaining up-to-date knowledge of general university policies and HR-specific processes/procedures. Additional responsibilities include preparing job postings upon request, tracking I-9 metrics, ensuring Labor Law postings are current, creating and maintaining databases, spreadsheets, and files to track front office information, as requested, along with mailing correspondence either via USPS or inter-office mail to the appropriate departments/campuses. Performs other related duties as assigned.

This position requires the following background checks; criminal history review.

Required Education and Experience:

* At least three years of directly related customer service/administrative support experience.
* An equivalent combination of education and experience may be considered.

Required Skills and Abilities:

* Demonstrated computer and internet navigation skills, and proficiency with Microsoft Office Suite, particularly Word and Excel.
* Ability to maintain a high level of confidentiality and professionalism.
* Demonstrated ability to handle a high volume of telephone calls, email inquiries, and visitors.
* Excellent customer service and interpersonal skills, along with the ability to interact effectively with a diverse population of students, faculty, and staff.
* Demonstrated organizational, prioritization, and time management skills, along with the ability to efficiently multitask.
* Exceptional verbal and written communication skills.
* Strong attention to detail.
* Demonstrated ability to work independently and in a team environment.

Preferred Skills and Abilities:
* Bachelor's degree
* Experience reviewing and processing Form I-9 documents.
* Experience handling high phone call volume.
* Experience in a human resources department.
* Experience with electronic applicant tracking systems. Knowledge of Temple systems, including Banner, Taleo, and TU Portal

Essential duties:
* Processes Form I-9/E-Verify in accordance with Department of Homeland Security/USCIS regulations.
* Works closely with the I-9 vendor workforce solution support team to ensure timely completion/compliance; submits access issues for troubleshooting/resolution.
* Answers and directs incoming telephone calls from internal and external clients.
* Responds to general inquiries or refers the caller to the appropriate personnel.
* Creates job postings and ensures accuracy in grammar.
* Provides phone, email, and in-person support to new hires, internal and external applicants related to the onboarding and electronic application process.
* Proactively responds to Business Partners/Talent Acquisition Specialists upon receipt of emails with paper posting requests.
* Prepares and maintains metrics for HR front office operations/activity.
* Saves all job postings on the HR shared drive by the end of posting day and sends to HSC for posting on their job board.
* Processes onboarding information and ensures that documents provided by new hires conform to USCIS regulations.
* Sends emails with the week's job postings to external community (local/state) partners.

This position is assigned on-site 40 hours per week.
