The Executive Assistantwill directly support Garver's Transportation business line through senior-level administrative support. The individual works independently by applying extensive and diversified knowledge of principles and practices in broad areas of assignments and related fields. They will use creativity, foresight, and mature judgment in recommending solutions to recognized and anticipate problems. They apply knowledge and expertise acquired through progressive experience to recommend resolution to crucial issues and/or unique conditions.


Key Responsibilities:


  • Manage the Director of Transportation's calendar and travel, coordinate meetings.
  • Manage information and coordination between Director and Transportation staff.
  • Manage the Transportation Team's events schedule, taking responsibility for lodging and dining reservations, travel reservations and exhibit coordination.
  • Attend 4-5 major events per year to confirm all conference and client entertainment is executed as planned, with travel anticipated
  • Drive and champion Garver culture initiatives (i.e. GarverGives, Connectedness, Wellness, etc.), act as a Garver and Transportation Business Line Ambassador.
  • Manage and prepare expense reports and timesheets for Transportation Director.
  • Attend select meetings and take minutes.
  • Draft and format internal and external messages from the Director.
  • Screen and direct phone calls and e-mails, distribute correspondence.
  • Provide updates and/or assist in the development of Transportation's policies and procedures.
  • Generate and/or distributes ad hoc reports using various business systems or databases.
  • Represent the organization in communications, meetings, and conferences as assigned.
  • Take initiative for personal and professional growth (i.e. leadership, problem solving, organization, communication, etc.).
  • Other related duties as assigned by the Director.


Education/Professional Experience


  • 3+ years of direct senior or executive-level support experience (required)
  • Bachelor's degree in business management, administration or related field (required)


Communication Skills


  • Strong oral and written communication skills
  • Proficient in written and verbal etiquette
  • Advanced document review for Garver conformity and quality assurance
  • Responsive internal and external customer service


Technical Skills


  • Advanced Microsoft Office Suite, to include Microsoft Teams and familiarity with CoPilot.
  • Knowledgeable in operating basic office equipment (phones, copiers, scanners, binding equipment, etc.)
  • Time management, organizational skills, and multi-tasking
