About the Role

We're looking for an attentive professional to join our team as a Specialist, Vehicle Order Entry. In this role, you will play a critical role in ensuring accuracy, efficiency, and compliance in the vehicle ordering process. Acting as a subject matter expert, this role provides administrative and order-entry support to fleets, ensuring seamless "wing-to-wing" processing from order entry through delivery. The Specialist ensures 100% order accuracy, collaborates with stakeholders to resolve issues, and drives process consistency to improve client satisfaction and operational scalability.

What You'll Do

  • Place vehicle orders in the Element system with accuracy and efficiency. Review and process bulk order spreadsheets, ensuring compliance with order requirements. Accurately place import orders through manufacturer systems. Review all orders for required content, notes, and exceptions.
  • Act as a liaison to ensure delivery of an effective "vehicle acquisition administration" process. Follow up with internal stakeholders on incomplete or erroneous orders. Provide daily support to internal teams to ensure smooth order processing.
  • Ensures 100% accuracy of order entry in line with SOPs and audit processes. Monitor for errors, omissions, and exceptions, ensuring corrective action is taken quickly. Maintain compliance with manufacturer systems and requirements.
  • Improve responsiveness and scalability by standardizing processes and eliminating non-value add exceptions. Communicate proactively with stakeholders to ensure alignment and timely updates. Contribute to ongoing improvements in reporting, tracking, and efficiency.

Basic Qualifications

  • 1-2 years of relevant business experience, with prior experience in data entry or order entry
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong attention to detail with proven ability to maintain accuracy under pressure
  • Excellent written and verbal communication skills
  • Ability to prioritize, organize, and complete multiple tasks efficiently
  • Strong problem-solving skills with the ability to resolve issues proactively
  • Demonstrated ability to learn and navigate manufacturer ordering systems

Preferred Qualifications

  • Education: College/University degree preferred
  • Automotive/Fleet industry experience preferred

Location: Hopkins, MN

The hiring base salary range for this position is $46,800 to $64,400 annually. Actual compensation within this range will be dependent upon the individual's knowledge, skills, experience, equity with other team members, and alignment with market data. Please note that the disclosed salary range is solely for candidates hired to perform work within this geographic location. Candidates hired to work in other locations will be subject to the pay range associated with that location.
