The Student Financial Services System Coordinator is responsible for managing and optimizing technical processes within systems (Banner, Slate, Salesforce, etc.) to support Student Financial Service operations. This role includes processing daily files, reconciling database discrepancies, and supporting departmental reporting and processes.

Technical Process Management

Set up and troubleshoot technical processes within systems to support Student Financial Services functions.

Assist in the management of the Aid Year Rollover each financial aid year.

Term Setup and Banner Configuration.

Create withdrawal and refund tables for each academic term.

Configure withdrawal and refund rules, including min/max thresholds, in Banner.

Update SOATERM with effective dates for assessment charges.

Process daily files, i.e., Institutional Student Information Record (ISIR) downloads and load Common Origination and Disbursement (COD).

Reconcile discrepancies and ensure data integrity within the databases.

Troubleshoot discrepancies in technical processes and work with IT to ensure automations are working properly.

Testing of Banner processes.

Collaborate with student accounts to perform mock assessment testing for system accuracy.

Ensure Educational Computer Services Inc. (ECSI) communications for Master Promissory Note (MPN) are timely and sent for all students.

Manage the award letter aid offer communication process.

Create & Manage Communications

Execute email flow to prospective students through a variety of technology types.

Build and maintain the communication flow in the database and make adjustments as necessary. Continue to review flow and make improvements to our communications, such as: Making communications responsive with mobile devices, retooling the way in which we communicate to obtain better response rates with our surveys, etc..

Monitor, print, and email sends to assure quality and consistency. This position tracks email open rates to adjust timing, content, etc., according to information.

Develop and execute forms.

Develop and maintain data bridges and system integrations across key departments, including:

Health & Academic Support (HAS)

Parking & Card Services

Student Insurance

Registrar's Office (including High School Dual Enrollment / Non-Credit form automation)

Payment Plan Administration (Touchnet)

Set up and manage Touchnet payment plans each semester; archive outdated plans and activate new ones.

Customize and manage special plans for Faculty Led Programs Abroad (FLPA) trips, international students, hardship cases, divorced families, and past due balances.

Address login or technical issues; liaise with Touchnet support for error resolution.

Monitor Host Code Failure Reports and unblock accounts in Touchnet Reconciliation.

Monitor deferred balances 45 days post-term to inform Student Financial Services Counselor to ensure payment.

Set Medical/Dental Enrollment deposits in Touchnet annually (open and close)

Process Scheduling and Documentation:

Inventory Student Financial Services processes and transitions eligible processes to the scheduler.

Write and maintain procedural documentation as required by the department.

Assist in the management and optimization of all enrollment system modules.

Reporting and Support:

Maintain and support departmental reporting through the ARGOS and Tableau reporting system.

Ensure accurate and timely reporting and data management for enrollment management and student financial services purposes.

Qualifications:

* Bachelor's degree in related area required.

* At least 2-3 years of experience in higher education, customer service, or administrative support.

* Experience with SQL or similar programming.

* Experience with relational databases.

Knowledge, Skills, and Abilities:

* Demonstrated knowledge of student financial services requirements and programs.

* Knowledge of computer operating systems and excellent interpersonal communication skills; ability to work under deadlines, and ability to work independently with little direction.

* Ability to manage software updates, test, and troubleshoot update issues.

* Ability to collect, analyze, compile, and record data on student financial services.

* Ability to handle sensitive and confidential data with discretion and integrity.

* Ability to communicate effectively, both orally and in writing; define problems, collect data, establish facts, and draw valid conclusions.

* Problem-solving skills and the ability to lead, instruct, handle a large variety of details, and work with all levels of organization.

* Ability to establish and maintain positive and effective working relationships with students, college employees, and the public.

* Strong organization, troubleshooting, and analytical skills.
