About the Department:


Mason Enterprise is an exciting and rapidly growing department whose work spans internal and external university functions that support technology commercialization and entrepreneurship. The department sits in the Office of Research and Economic Impact and consists of the Office of Tech Transfer, the federal, state, regional, and local programs that support small business, the Mason Enterprise Centers (incubators), and the expansion of the Arlington Campus as it related to entrepreneurship and small business development. Through counseling and training, we help people start and grow companies. Our "clients" are members of the community, students, and faculty members from across Virginia.


About the Position:


The Administrative Assistant supports the mission of Mason Enterprise. The position administratively assists the AVP of Innovation & Economic Development in the performance of their program and grant delivery service responsibilities and also is the responsive conduit to internal and external constituents. This position reports directly to the Associate Vice President, Innovation and Economic Development and has a dotted-line reporting relationship to the ORIEI Director of Finance and Administration related to unit's administration functions and coordination.


Responsibilities:



  • Works with AVP and staff on financial, personnel, and other administrative matters such as travel, eVA orders, recruitment, IT support, communications and other requests to fulfill department program operations. Duties include:

    • Attends meetings in place of AVP when needed to take notes and participate as necessary;
    • Proofreads and provides inputs on documents in collaboration with AVP;
    • Processes orders through eVA system;
    • Assists with the special activities and events of the department;
    • Provides updates to AVP of any area regarding college and university events and activities;
    • Schedules meetings for AVP; and
    • Advises the AVP on suggested organizational improvements.




  • Provides grant program delivery support on selected federal, state, or local grants, including attending meetings, assisting with reports, and distributing communication. To also include financial management functions;
  • Plans, promotes, and coordinates special events and initiatives, including conferences, speaking engagements, staff retreats, and advisory board meetings;
  • Provides Area Department Support/ Administrative support for Area Faculty members, including:

    • Assists faculty and external parties in making the proper connections to Mason Enterprise programs to address their needs;
    • Arranges logistics of some events related to FUSE;
    • Prepares travel authorizations and reimbursements for AVP and Board;
    • Coordinates team meetings and disseminates information; and
    • Supports others as assigned.




Required Qualifications:



  • Bachelor's degree in related field or equivalent combination of education and experience;
  • Related administrative assistant experience in office management or support functions with increasing responsibility and with reliable and competent results (typically 2+ years);
  • Experience with Microsoft Office applications;
  • Effective oral and written communication skills;
  • Well organized, self-starter, sound interpersonal skills;
  • Ability to follow through and complete tasks; and
  • Ability to work both independently and as a member of a team.


Preferred Qualifications:



  • Demonstrated administrative experience working in a University setting (typically 2-5 years of experience);
  • Experience with grants and grant administration (typically 2-5 years of experience);
  • Working knowledge of grants and grant administration;
  • Knowledge and understanding of area and office organization and administration;
  • Knowledge of all relevant software related to job responsibilities;
  • Knowledge of University programs, policies, and procedures; and
  • Basic understanding of financial processes.
