Overview
This position supports event planning for Utah's Transition to Organic Partnership Program (TOPP) within USU Extension. TOPP works to expand and connect organic producers in Utah by building community and offering technical assistance through field days, farm tours, workshops, and webinars.
The Event Planning Assistant will work with the Organic Outreach Coordinator to plan, coordinate, and deliver up to 20 events and webinars before the program concludes in September 2026.
We're looking for someone organized, detail-oriented, adaptable, and familiar with event planning, community building, local food systems, and sustainable agriculture. This hybrid role includes remote planning, occasional in-person meetings, and travel for events. Flexibility to work some evenings, weekends, and occasional overnight trips (1-2 per month) is required. Workload will vary, with heavier hours during events and lighter weeks in between, scheduled well in advance.
Ideal candidate would live in the Salt Lake City area or be willing to commute regularly, and be able to start in October 2025.

Responsibilities
Meet with and report to the Organic Outreach Coordinator weekly
Assist with planning, coordinating, and executing events from start to finish
Manage event timelines, checklists, and task tracking
Support in event location planning including communication with venues, catering, and equipment rentals
Create and monitor registration and manage attendee communication
Help prepare event materials such as signage, name tags, and agendas
Assist with event marketing and outreach, including copywriting and promotional materials
Attend all events and provide on-site support during events (registration, set-up, tear-down, attendee assistance)
Provide webinar support for online events
Track expenses and supply needs
Maintain accurate records, hourly tracking, and travel expenses

Qualifications
Prior event planning or administrative experience preferred
Familiarity with local food systems and sustainable agricultural production is preferred
Strong organizational and multitasking skills
Excellent written and verbal communication
Good at creative problem solving in fast paced environments
Proficiency with Microsoft Office (Word, Excel, PowerPoint) and comfort in learning new tools
Flexibility to work occasional evenings, weekends and overnight travel for events
This position requires the employee to provide their own computer and reliable internet connection to complete remote work responsibilities
Must have access to reliable transportation to attend events across the state of Utah
