Position Summary: School Enrollment Coordinator is responsible for the enrollment process at St. Joseph Academy for grades K4 - 8th Grade. The School Enrollment Coordinator will be the primary contact for all prospective and newly enrolled children, students and families. The School Enrollment Coordinator will be responsible for a continual enrollment process, including recruitment, follow-up, tours, data entry and reporting.
Position Reports to: President/CEO
Qualifications:
- High School diploma or equivalent required; Associates degree in administrative professional or business management preferred
- 2+ years in an administrative position, experience in school and/or childcare setting preferred
- Knowledgeable about Milwaukee Parental Choice Program (MPCP) and Wisconsin Department of Public Instruction (DPI) preferred
- Bilingual - Spanish required
- Proficient user of MS Office software (Word, Excel, PowerPoint, Outlook)
- Experience with School Information System and/or Childcare Management System, such as Sycamore Education/ProCare, a plus
- Exemplary interpersonal, planning and organizational skills
- Detail orientated with the ability to manage and meet deadlines
- Strong customer service and public relations skills, including proper phone etiquette skills
- Ability to communicate (verbally and in writing) and effectively interact with children, families, colleagues, staff members and the public
- Ability to respond positively to work direction and guidance from others
- Ability to work independently, while prioritizing and managing multiple tasks
- Ability to maintain confidentiality in all aspects of the job
- Current CPR, First Aid and Certification

Physical and Mental Requirements: Must have ability to sit (50%), walk/stand (50%), routinely throughout the shift. Must be able to periodically lift up to 50 lbs. Must have functional senses/manual dexterity for effective communications and use of office equipment. Must have the ability to deal effectively with the stress of managing emergency/critical situations and multiple tasks.
Environmental Conditions: Performs duties with exposure to infectious or communicable diseases inherent to child care, and occasional exposure to loud or unpleasant voices due to unpredictable behavior of the children and seasonal exposure to high humidity, heat and cold due to the internal and external environment.
Essential Job Functions/Duties:
- Extends excellent service to all children and families
- Assures each family's and employee's right to privacy and confidentiality, at all times
- Establishes appropriate relationships with children, parents/guardians, staff, and the public which ensures a safe environment that protects children/families' rights
- Responsible for accurate and efficient enrollment of all K4- 8th Grade students
- Primary contact for all enrollment
- Conduct tours of the facility
- Follow up with prospective families within a reasonable timeframe
- Create and ensure supply of enrollment packets
- Process enrollment paperwork
- Monitor and track enrollment of students, while maintaining enrollment reports for Principal and President/CEO
- Communicate new enrollees to all appropriate parties
- Maintain and manage wait lists
- Ensure coordination of communication with parents and Administration
- Input, update and maintain applications via On-line Application System, spreadsheets, etc.
- Responsible for all WISEdata reporting and maintenance between DPI and SIS.
- Entry of family data
- Orient families to SJA philosophy and practices
- Ensure organization and accurate data entry of all files by DPI and other accreditation entities
- Conduct continual child file audits
- Communicate verbally and in writing all pertinent information to support St. Joseph Academy
- Communicates pertinent information with members of the team and appropriate departments to ensure response to requests, concerns, or issues

- Create and deliver 5-, 10-, 15- absence letters and communicate with local agencies, if necessary
- Collaborate with Enrollment Coordinator to ensure accurate data.
