Position Summary: This position is responsible for accurately analyzing and interpreting incoming and outgoing client records correspondence. The Records Correspondence Specialist maintains the medical record of client care by compiling, reviewing, and entering data to the client record, to enhance a positive outcome for the client's services and goals. This position also maintains patient confidentiality by keeping information confidential following federal, state, Curative and HIPAA protocols. Enhance record keeping by accepting ownership of exploring opportunities to add value to job accomplishments. Essential Functions:
- Obtain physician signatures for initiation of evaluations, approval of or continuation of services.
- Release reports to physicians, other providers, patients or parents for further care, and requests other agency records for enhancement of our care coordination.
- Process walk-ins and phone requests from parents, caregivers, and others as authorized by client, parent, or guardian.
- Thoroughly read and understand each piece of incoming correspondence and record a detailed summary on the client's profile(s) in various computer systems for each account worked.
- Appropriately update specific fields in the company's computer system(s) in accordance with established procedures based upon information contained in the correspondence.
- Develop reports of completed work and provide management with tracking of all correspondence processed and account updates.
- Participate in department projects as assigned.
- Provide feedback to management concerning possible problems or areas of improvement.
- Make recommendations to implement improved processes.
- Sort mail sent to Curative as needed.
- Perform other duties as assigned by management.
Knowledge, Experience & Qualifications:
- High School Diploma required. Associates Degree is preferred.
- Minimum of 3 years experience in similar field.
- Must have skills in time management, data entry and documentation skills.
- Attention to detail, thoroughness, productivity and internal/external verbal and written communication skills.
- Experience with electronic medical records (EMR) (Core, NetSmart, NetHealth, etc)
- Knowledge, understanding, and compliance with HIPAA federal and local laws and regulations.
- Knowledge, understanding, and compliance with company policies and procedures.
- A basic knowledge of medical terminology and experience in a general record department preferred.
- Basic knowledge of laws related to release of confidential information preferred.
- Proficient personal computer skills, including Microsoft Office applications such as Outlook and Excel.
- Excellent interpersonal, written, and oral communication skills.
- Excellent analytical thinking and decision making skills.
- Ability to work in a team environment.
- Ability to prioritize and organize work in a multi-tasked environment.
- Ability to uphold highest level of confidentiality.
