JOB DESCRIPTION AND POSITION REQUIREMENTS

Penn State Brandywine's Development and Alumni Relations office is seeking a part-time staff member to provide overall on-campus administrative support, event management, stewardship coordination, and operations support. Reporting to the Director of Campus Development, the Administrative and Stewardship Coordinator is a crucial part of the team's success in advancing strategic priorities set forth by the Chancellor.

Typical job duties include, but are not limited to:

  • Manage the gift processing system at Penn State Brandywine. Providing accurate record-keeping of gifts acknowledgement and receipts, including cash, credit cards, checks, stocks, pledges, gift in kind, payroll deduction, and more.

  • Provide administrative support to the Director of Campus Development and the Development and Alumni Relations team. This includes scheduling meetings, expense report, coordinating travels, managing event logistics, etc.

  • Establish and maintain systems to manage office flow encompassing all aspects of the Office of Development and Alumni Relations team.

  • Oversee and implement a stewardship matrix that is reflective of our donor database. This will include event support with Scholarship Celebration, Campaign Celebration, and more.

  • Execute the logistics of the Executive Briefing Breakfast in partnership with Director of Campus Development. This cultivation event occurs every quarter with key business leaders in the Greater Philadelphia area.

  • Collect and support scholarship reports and thank you notes from students, spending reports for endowed and/or current-use funds, and other stewardship support.

The successful candidate will have strong organizational and time management skills, experience with projects, and event planning. HS diploma or GED preferred. 2-3 years of fundraising, donor communication, and other relevant experience related to fundraising as well as administrative support experienced preferred.

Hours for this position are typically scheduled 9-5pm, Monday through Friday, 25 hours per week. The hourly pay rate will depend on the chosen candidate's education, qualifications, skills, and experience.
