We are seeking a highly experienced, proactive, and detail-oriented Executive Assistant to support the Chief Financial Officer (CFO) of a dynamic, fast-paced organization. This role goes far beyond traditional administrative support, requiring a strategic thinker and operational leader who can manage complex calendars, orchestrate high-impact meetings and events, and serve as a trusted liaison across internal and external stakeholders.

Primary Responsibilities:

  • Calendar & Event Management
    • Serve as a strategic gatekeeper to the CFO's complex calendar, ensuring alignment with top priorities and maximum value from engagements, by continuously evaluating and optimizing the scheduling for efficiency and impact
    • Proactively manage and protect the executive's time by prioritizing commitments, anticipating needs, and ensuring focus on the highest-impact activities while maintaining daily open time on calendar
    • Manage the CFO's external commitments, including board memberships and speaking engagements
    • Participate in the planning and execution of major events in partnership with other stakeholders including town halls, earnings, board, QBRs, MBRs, forecast reviews, and staff meetings
    • Ensure meeting logistics are fully coordinated, including confirming the right attendees, preparing and distributing pre-read materials in advance, and printing any necessary documents
    • Anticipate executive needs for each meeting by printing daily calendar, reviewing agendas, aligning prep materials, and flagging any gaps or follow-ups ahead of time
  • Travel & Expense Management
    • Plan and coordinate complex domestic and international travel (commercial and private)
    • Manage expense reporting and approvals for the CFO and direct reports
  • Email & Workflow Management
    • Monitor and manage the CFO's inbox real-time to ensure timely responses to critical matters and inclusion of relevant leaders where appropriate
    • Maintain discretion and professionalism in handling confidential information
    • Systems & Approvals Oversight including manage approval workflows including Ariba, invoices, requisitions, and company-paid mobile requests
  • Other Support
    • Coordinate and pick up lunch orders as needed
    • Provide beverages and refreshments to ensure a comfortable and efficient work environment
    • Maintain important executive background materials such as biography, headshot, and critical information
    • Proactively manage time and logistics to create space in the executive's schedule for high-priority tasks
    • Serve as a leadership resource for administrative coordination, partnering with other team EA/AAs to ensure alignment on best practices, adherence to updates policies, staffing for current and future leadership needs, and shared awareness across the organization
    • Partner with Facilities to manage onsite office space needs, ensuring a smooth experience for current team members and thoughtful planning for future growth

Required Qualifications:

  • 5+ years of administrative experience supporting C-level executives in a fast-paced, high-growth environment
  • Experience managing multiple tasks/projects and deadlines simultaneously with attention to detail
  • Experience arranging Microsoft Teams Meetings (in person and virtual)
  • Proficiency in Microsoft Office Suite, collaboration tools, and enterprise systems (e.g., Ariba, Concur)
  • Proven exceptional organizational, communication, and interpersonal skills
  • Proven ability to manage complex calendars, high-stakes meetings, and confidential information

Preferred Qualification:

  • Experience working within a Matrix organization and across complex stakeholder groups

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $23.41 to $41.83 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
