Job Summary

Coordinates the day-to-day front desk operations and objectives of Orientation and Family Programs at the Modesto Maidique Campus (MMC) and Biscayne Bay Campus (BBC) to ensure process effectiveness and efficiency. Provides general support for Orientation and Family Programs all office functions and work processes. Provides support for Orientation and Family Programs financial transactions, human resource transactions, and essential projects. Supervises student assistants and oversees front desk coverage.

  • Coordinates the day-to-day office operations of Orientation and Family Programs at MMC and BBC by coordinating a variety of administrative and operational tasks. Establishes priorities, assigns functions, and assures compliance with applicable policies, procedures, and standards.
  • Serves as the department HR Contact for the office while working closely with the Division's HR Liaisons. Handles confidential HR issues using good judgement. Participates in the interviews for all staff candidates and provides recommendations to the Hiring Manager. Facilitates the completion of necessary on-boarding processes for Student Assistants, Temporary employees, and Graduate Assistants.
  • Recruits, trains, supervises, and evaluates student assistants in accordance with the Division of Student Affairs processes and procedures.
  • Assists with answering phones, addressing walk-in customers, and monitoring office email accounts
  • Manages office inventory and orders, while working closely with all teams to ensure event supply needs are met.
  • Assists with the preparation and execution of office events, meetings, etc.
  • Coordinates travel arrangements and expense reports. Serves as the main contact to Purchasing and the Controller's Office. Works with vendors to coordinate purchases.
  • Serves as a University card user for departmental transactions. Adheres to University credit card policies and procedures. Occasionally handles cash transactions. May serve as the merchant account's primary contact. Handles sensitive cardholder information and/or processes credit cards transactions for the department/unit.
Minimum Qualifications

High school diploma or GED and six (6) years of office or related experience providing administrative support; OR an equivalent combination of relevant education and/or experience.
