Outpatient Administrative Coordinator - SU

We are seeking a friendly and organized administrative professional to support the program functions of CCA's outpatient substance use services, including the Intensive Outpatient Program (IOP), General Outpatient Program (SU OUT), and Ambulatory Detox.

Job Responsibilities:



  • Greeting and welcoming clients and visitors at the front desk, maintaining daily flow, and therapeutic environment





  • Building a supportive rapport with the client, being an additional trusted program contact to facilitate communication between clients and staff





  • Answering the phone and other external communication





  • Typing and filing meeting notes and correspondence





  • Managing staff and program calendars





  • Managing, scanning, and organizing record requests, intake forms, and other paperwork





  • Scheduling appointments, following up with clients regarding missed appointments





  • Conducting post-discharge follow-ups and aftercare tracking





  • Tracking referrals and following up with external partners/programs





  • Supporting client access to services, such as arranging interpreters and transportation





  • Communicating with clients and the billing department regarding insurance eligibility and outstanding balances





  • Supply inventory and ordering





  • Organizing and maintaining the donation closet





  • Maintaining the accuracy of client records and ensuring documentation and data reporting are performed in compliance with all relevant standards





  • Other administrative projects as assigned



Position Details



  • $20/hour





  • $20.96/hr for bilingual candidates





  • In-person in Woonsocket





  • Full-time (40 hours)





  • Anticipated schedule: Monday-Friday 8 am-4:30 pm





  • May include other shifts based on evolving program needs (i.e,. if an evening session is introduced)



Qualifications:



  • Bilingual Spanish/English strongly preferred





  • Language stipend available





  • Minimum 1 year of customer service experience





  • Experience in a clinical or other similar outpatient setting is ideal





  • Experience working with client population





  • Ability to build strong rapport with clients while maintaining appropriate boundaries





  • Strong communication and collaboration skills





  • Proficiency in office software (Microsoft 365 and EHR)





  • Calendar and schedule management skills





  • Proven ability to handle confidential information responsibly





  • Organized and self-directed, ability to independently prioritize tasks and manage workload
