Accounting Assistants perform a variety of accounting activities including invoicing, accounts receivable transactions and collections, accounts payable transactions and weekly check/wire processing, reconciliations, and miscellaneous reporting and administrative support to the site Controller. Accuracy and attention to detail are critical for success in this role. Assistants are also responsible for general clerical and administrative duties for one or more departments at the location.

Essential Functions

  • Greets visitors and ensures badge assignment and other visitor-related security measures are consistently enforced; may generate employee badges and support new employee setup in the ERP
  • Accurately and efficiently utilizes ERP/Accounting software to record and store information; verifies amounts, postings, and documents for correct entry, mathematical accuracy, and proper coding
  • Classifies, records, and summarizes numerical and financial data to compile and keep financial records, using journals and ledgers or computers; ensures appropriate debit, credit, and total amounts on computer spreadsheets and ERP system
  • Prepares, verifies for accuracy, and distribute customer invoicing; monitor aging of accounts receivable and provide associated reporting to Controller or others as appropriate; may contact customers to inquire or request payment of late receivables
  • Promptly and accurately posts payments received; may issue credit memos or other billing adjustments
  • Sets up new vendors per established requirements
  • Maintains a variety of tracking spreadsheets and metrics for management reporting
  • Operates 10-key calculators and copy machines to perform calculations and produce documents
  • Complies with federal, state, and company policies, procedures, and regulations; ensures compliance with approval per the Delegation of Authority matrix and retains records of approvals
  • Supports internal and external auditing activities by providing data and researching requests; may create and maintain work instructions and audit narratives for accounting procedures
  • Performs general office duties such as scanning documents, filing, answering telephones, sorting and delivering mail, and handling routine correspondence; may make bank deposits and purchase office and other supplies
  • Regular attendance on-site at the work location is required


Required Education and Work Experience


  • HS Diploma or GED equivalent is required
  • Specialized education/training in accounting or bookkeeping is preferred
  • Minimum one (1) year experience in accounting support including accounts payable and/or accounts receivable


Other Required Skills and Abilities


  • Demonstrated analytical, problem-solving, and critical thinking abilities to handle unexpected challenges appropriately
  • Communication skills to effectively and professionally exchange and present information (English)
  • Commitment to maintaining confidentiality, securing company records, and demonstrating integrity in communications and actions
  • Self-management skills including efficiency, sense of urgency, ability to adapt and respond to unexpected circumstances, and ability to juggle multiple projects, competing priorities, and meet concurrent deadlines
  • Professional verbal and written communication skills (English)
  • Proficiency in Microsoft Office applications including Outlook, Excel, PowerPoint, Word
  • Experience using an ERP system or other complex accounting software is required; Infor Visual experience preferred


Physical Demands and Work Environment

To perform the essential functions of the role, employees must be able to perform the following activities with or without reasonable accommodations:


  • Sit for prolonged periods at a desk and work on a computer
  • Regularly stand and walk
  • Occasionally climb steps or stairs
  • Constantly communicate verbally and in writing (English) using a phone, texts or other messaging, and email
  • Use hands and fingers to operate computer keyboards, mouse, or other peripherals


The normal work environment is a typical office setting; however occasional visits to the warehouse/manufacturing environment will be required and the employee may be exposed to excessive noise, dust, fumes, vapors, and hazards including forklifts and other moving equipment. The use of PPE, including hearing protection, eye protection, and use of safety footwear may be required during these visits.
