Overview:
The Hospital Administrative Assistant provides essential clerical and administrative support to ensure efficient daily operations within a hospital or healthcare department. This role supports both patients and staff by handling scheduling, communications, and record management with professionalism and attention to detail.

Key Responsibilities:

  • Greet and assist patients, visitors, and staff in person and over the phone.

  • Schedule and coordinate patient appointments, procedures, and staff meetings.

  • Maintain and update medical records, files, and departmental documentation.

  • Prepare correspondence, reports, and other documents as requested by leadership or medical staff.

  • Assist with patient check-in, registration, and insurance verification.

  • Process billing information, payments, and insurance claims as needed.

  • Order and maintain office supplies, forms, and equipment for the department.

  • Ensure compliance with HIPAA and hospital policies to protect patient confidentiality.

  • Support hospital staff with administrative tasks to improve workflow and patient care.

  • Perform other duties as assigned by supervisors or department leadership.

Qualifications:

  • High school diploma or equivalent required; associate's degree preferred.

  • 1-2 years of administrative or clerical experience, preferably in a healthcare setting.

  • Proficiency in Microsoft Office Suite and familiarity with electronic medical records (EMR) systems.

  • Strong organizational skills with the ability to multitask and manage priorities in a fast-paced environment.

  • Excellent communication and interpersonal skills with a customer service focus.

  • Ability to maintain confidentiality and demonstrate professionalism at all times.

Working Conditions:

  • Office and clinical environment with frequent interaction with patients, visitors, and staff.

  • Requires sitting, standing, and walking for extended periods.
