The Leave and ADA Administrator is responsible for managing and overseeing all employee leave programs within an organization, ensuring compliance with company policies, local, state, and federal laws. The role involves investigating and managing worker compensation claims, along with handling requests for various types of employee leaves, such as family and medical leave (FMLA), personal leaves of absence, and disability leave (STD/LTD), and acting as a point of contact for employees needing support in navigating the leave process. This role also ensures effective communication regarding the status of leaves, as well as the proper administration of benefits and accommodations associated with various types of leave. Key Essential Functions/Duties:
Administer and process various types of employee leave, including but not limited to FMLA (Family and Medical Leave Act), short-term disability, long-term disability, and personal leaves. Ensure compliance with federal, state, and local laws governing employee leave, including FMLA, ADA (Americans with Disabilities Act), and other applicable laws. Maintain accurate records of all leave requests, approvals, and documentation. Review and verify employee eligibility for leave, and provide reports as needed. Administer the workers' compensation program, including processing claims with our carrier, monitoring case progress, and ensuring timely reporting and documentation. Coordinate with work comp carrier, medical providers, and employees to facilitate claims and return-to-work processes. Ensure accurate and thorough reporting of workplace injuries. Maintain detailed records of all workers' compensation claims and related activities. Is the primary point of contact for employees inquiring about leave policies and processes. Provide guidance to employees on their rights and responsibilities under the leave programs. Coordinate with employees, managers, and medical professionals to determine return-to-work plans and accommodations, if applicable. Work with FMLA administration vendor on applicable reports needed, and system issues. Ensure compliance with the Americans with Disabilities Act (ADA) and other relevant regulations, including facilitating the interactive process to determine reasonable accommodations for people off work. Prepare and analyze leave reports, including workers compensation claims, cost, trends, etc.. Stay updated on changes to laws and regulations affecting employee leave and advise HR leadership on necessary policy adjustments. Assist in the preparation of required reports for audits or government agencies related to leave programs. Use data to identify areas for improvement and implement corrective action. Work closely with HR team members, payroll, and management to ensure seamless coordination of leave and compensation processes. Participate in meetings with management to provide updates on employee leave statuses and address any potential concerns. Develop and conduct training programs for employees and management on the various leaves and compliance with government regulations.
Education/Experience/Skills/Qualifications:
Bachelor's degree in Human Resources, Risk Management, Business Administration, or related field, or equivalent work experience required. At least 3 years of experience in HR, particularly in leave management, employee benefits, Workers Compensation, or a related field. Knowledge of leave laws, such as FMLA, ADA, and state-specific regulations, is highly preferred. Strong understanding of HR policies and legal requirements related to employee leave. Excellent communication skills, both written and verbal. Ability to handle sensitive and confidential information with discretion. Strong organizational and record keeping skills with attention to detail and accuracy. Proficient in HRIS (Human Resource Information Systems), Microsoft Office Suite, and leave management systems. Ability to manage multiple tasks simultaneously and prioritize effectively. Fluent in both English and Spanish (spoken and written) is preferred. Regular presences in office and production environments. Occasional interaction with employees across various time zones or shifts. No special physical requirements. Must be able to use a computer and office equipment.
