The Office of Academic Affairs is led by the Senior Associate Provost for Academic Affairs. The office supports faculty in developing and maintaining academic programs that meet the educational and career goals of students, fulfill the university's mission, and serve the employment needs of the state of Georgia.

The Office of Academic Affairs at Georgia State University is seeking to hire an Administrative Specialist, Sr. (Temp).

WHAT WILL YOU DO:

The Administrative Specialist, Senior provides high-level administrative and program support to the Senior Associate Provost for Academic Affairs and the Assistant Provost for Academic Affairs. This position manages the day-to-day operations of the Office of Academic Affairs, ensuring efficient workflow and supporting strategic initiatives. The role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

DUTIES AND RESPONSIBILITIES INCLUDE:

  • Manage complex calendars for senior leadership, including scheduling meetings, appointments, and events.

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Serve as the primary point of contact for internal and external stakeholders.

  • Oversee daily office operations, including supply orders, facilities requests, and technology needs.

  • Coordinate travel arrangements and process reimbursements in compliance with university policies.

  • Maintain confidential records and files.

  • Draft and distribute official communications, including emails, letters, and announcements.

  • Coordinate logistics for meetings, workshops, and special events.

  • Assist with budget preparation and monitor expenditure; prepare financial reports.

  • Provide advice and recommendations on operational matters to senior leadership.

  • Assist in developing and implementing policies and procedures.

  • Support special projects and initiatives as assigned.

  • Perform other tasks for office staff.

  • Assist the HR Officer with HR-related data entry, ensuring accuracy, confidentiality, and compliance with university policies and procedures; perform additional administrative tasks as assigned.

Qualifications :

Minimum Requirements:

  • Bachelor's degree and four years of administrative experience, or an equivalent combination of education and experience.

Preferred Requirements:

  • Experience supporting senior-level executives in higher education.

  • Proficiency in calendar and scheduling software (e.g., Outlook, Google, Teams, Zoom, or similar).

  • Familiarity with office equipment and software systems (printers, conferencing systems, HRIS, procurement tools).

  • Skilled in Microsoft Office Suite (Word, Excel, PowerPoint) with strong Excel skills

  • Familiarity with office equipment and software systems (printers, conferencing systems, HRIS, procurement tools).

  • Knowledge of travel arrangements, meeting coordination, and event logistics.

  • Advanced proficiency in Microsoft Office Suite and experience with university systems (e.g., BANNER, PantherMart).

  • Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment.

  • Strong interpersonal skills and ability to work collaboratively with diverse stakeholders.

  • Experience in office management, bookkeeping, accounting, or finance.

  • Strong Excel and Microsoft Office skills (pivot tables, VLOOKUP, reconciliations).

  • Excellent written and verbal communication skills.

  • Strong organizational, analytical, and time management skills.

  • Ability to handle sensitive information with discretion.
