The Office of University Advancement at Georgia State University is seeking to hire a Development Associate (Temp).

WHAT WILL YOU DO:

This position will provide support to the Office of University Advancement - Alumni at Georgia State University.

DUTIES AND RESPONSIBILITIES INCLUDE:

Board and Event Management (25%)

  • Creating and managing board meeting schedules, invitations, Webex links, and agendas. This requires detailed coordination with internal and external constituents; and changing management annually on the board side.

  • Day prior to each board/committee test onboard features to ensure they are operative and have a backup plan in the event technology is not working.

  • Record, type and transcribing accurate minutes in a timely manner (preferably within one week of each meeting).

  • Maintain a directory of the full board, its special committees, and groups with stop and start dates within ASCEND.

  • Assist in serving as a point of contact between board members, and the leader of board relations

  • Assist in maintaining legal and governance documents, board policies, and ensure adherence to institutional and regulatory guidelines

  • Assist with board logistics to include locating venues and reserving them, catering, AV/technical needs.

  • Manage logistics for commencement ceremonies (e.g., graduation banners).

Alumni Relations and Communication (25%)

  • Monitoring and responding to alumni emails and phone calls. Ensure inquiries to appropriate departments (Registrar, Director of Alumni Relations, Website Coordinator).

  • Corresponding with alumni personnel and setting up meetings for individuals for one-on-one engagement appointments.

  • Maintaining communication with alumni for social events like Homecoming, Senior Brunch, and Third Thursdays.

Administrative and Operational Support (25%)

  • Manage calendars for the Associate Vice Presidents: Alumni

  • Complete contact reports for the AVPs and others when time permits.

  • Process mail and receive deliveries, including processing financial transactions and ensuring proper verification.

  • Place office supply orders for both AVP offices.

Event and Financial Support (15%)

  • Processing membership/donation payments through Cash or Credit Card.

  • Collaborating with the accountant for specific financial tasks. Assisting with financial record-keeping for board-related events and donations.

General Office Support and Coordination (10%)

  • Providing general administrative support to staff and ensuring smooth day-to-day operations.

  • Managing logistical details for the office, such as room setup and cleanup.

  • Supporting other office tasks as necessary, based on staff meetings and staff member needs.

  • Perform other related duties as assigned.

Qualifications :

Minimum Requirements:

  • Bachelor's and three years of related experience; or a combination of education and experience.

Preferred Requirements:

  • Experience with ASCEND software.

  • Microsoft Powerpoint, Excel.

  • Attention to detail, customer service skills, professionalism, adaptability.
