The Skull Base Administrative Coordinator supports the Skull Base Tumor Program within the Mass General Brigham Center for Tumors of the Nervous System. The Administrative Coordinator reports to the Senior Project Manager, Center for Tumors of the Nervous System and works under the general direction of the Program Leads, MGB Skull Base Program.
Schedule: This position is 100% onsite, Monday through Friday, 8:00am - 4:30pm.
This position will report primary to Brigham and Women's Hospital (Hale Building), with occasional travel to Mass General Hospital (main campus).
- High school diploma or GED required.
- Bachelor's Degree is preferred.
- Administrative support experience of 3-5 years is required.
- Proficient in using office productivity software such as word processing, spreadsheet, and presentation tools.
- Demonstrated professionalism, integrity, and the ability to handle confidential information with discretion.
- Ability to adapt to changing priorities and work effectively in a dynamic environment.
- Strong problem-solving skills to resolve issues and make sound decisions independently.
- Strong written and verbal communication skills to effectively interact with individuals at all levels of the organization.
- Excellent organizational abilities to manage multiple tasks, prioritize work, and meet deadlines.
JOB SPECIFIC TASKS AND RESPONSIBILITIES:
- Serves as the primary administrative support to the Skull Base workgroup in the Cetner for Tumors of the Nervous System and supports clinical, educational, and academic responsibilities.
- Supports administrative tasks relevant to the development and implementation of Skull Base education initiatives, including fellowships, resident teaching, hands-on lab sessions, industry-sponsored training courses, and continuing medical education (CME) events.
- Collaborates with departmental and external partners on industry grants, lab sponsorships, and joint programming to advance surgical innovation and education.
- Assists in organization of events relevant to the Skull Base CTNS working group, including but not limited to the annual Skull Base Symposium in partnership with the Cerebrovascular Administrative Coordinator, overseeing vendor contracts, speaker logistics, continuing education compliance, and audience outreach.
- Acts as liaison to referring physicians, hospital marketing and development offices, and donor engagement teams to enhance communication and expand referral networks.
- Supports skull base specific promotional efforts including social media content, newsletters, scientific publication highlights, and web presence in collaboration with the Neurosurgery Communications Specialist.
- Works in tandem with CTNS data analysts to gather information on patient referrals, outreach metrics, physician engagement, and donor interaction, and compiles quarterly reports to assess growth and opportunity.
- Builds and maintains strong relationships with key partners in the Center for Tumors of the Nervous System, including neurosurgery, otolaryngology, ophthalmology, oncology, radiation oncology, radiology, neurology, and pathology, to support a seamless multidisciplinary care model.
- Develops strategic plans in collaboration with Skull Base Program leadership to grow the program's clinical and academic impact, including planning meetings, note-taking, and outcome reporting.
- Serves as backup to other administrative staff in the division and provides assistance with general department operations, as needed.
- Demonstrates professionalism in handling sensitive clinical or donor communication and supports a culture of collaboration, excellence, and growth across the program.
