Job Summary
The departments of Mathematics, World Languages, Literatures and Cultures, and Computer Science and Information Systems at Elmhurst University are seeking a detail-oriented Administrative Assistant. This individual serves as the initial contact for all three departments and performs duties that relate to faculty success and student services, including responding to general inquiries, proctoring examinations, word processing, distributing mail and performing other clerical tasks.
Salary Range $18.50-$19.50. This is the expected hourly range for this position. The actual hourly wage offered will depend on a candidate's experience and education, and departmental budget.
Essential Functions

  • Provides exemplary service to faculty, staff and students through in-person, email, and phone correspondence.
  • Coordinates meetings and events using scheduling platforms (e.g., Outlook, Zoom, Teams).
  • Obtains and maintains certification with Accuplacer to carry out tasks related to math proficiency testing.
  • Collects language proficiency and placement test results, including data entry.
  • Coordinates math proficiency testing, including student communication and registration.
  • Proctors exams for students needing makeup times or extra time.
  • Maintains office equipment by managing inventory and ordering general supplies; ensures printers and copiers are stocked and in working condition, and coordinates troubleshooting issues with the Service Desk as needed.
  • Collects, organizes and maintains course syllabi from both adjunct and full-time faculty for each academic term.
  • Support department chairs, as needed, to develop course schedule.
  • Support department chairs and search committees, as needed, during searches for adjunct and full-time faculty.
  • Collaborates regularly with department chairs in Mathematics, World Languages, Literatures and Cultures, and Computer Science and Information Systems to streamline communication, and ensure execution of academic and administrative tasks.
  • Collects and distributes departmental mailings.

Minimum Qualifications

  • Excellent interpersonal, written, and verbal communication skills.
  • Strong knowledge of Microsoft 365 applications, including Word, Excel, and Outlook.
  • Previous administrative support experience.

Preferred Qualifications
  • Previous experience working in a higher education environment.
Working Conditions/Physical Requirements
Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move objects.
Work Hours
This is a part-time position (10-15 hours per week), August through May. Approximately 3 hours per day, Monday through Friday, between the hours of 8:00 am and 3:00 pm.
