Job Overview
Chugach Government Solutions, LLC is seeking a highly qualified Executive Assistant to provide high-level administrative and operational support to the USAID Office of Acquisition and Assistance (OAA). In this role, the Executive Assistant will coordinate schedules, meetings, communications, and special assignments for the OAA senior leadership team. The position requires exceptional organizational, interpersonal, and time-management skills, as well as discretion in handling sensitive information. At the customer's discretion, this position may be performed in a hybrid capacity, with approximately 50% in-office presence. Salary Range: $112,000- $130,000 Work Model: Hybrid
Responsibilities
Essential Duties and Job Functions:
- Manage calendars, schedule appointments, and coordinate high-level internal and external meetings for OAA management.
- Prepare briefing materials, talking points, reports, and correspondence on behalf of the Senior Procurement Executive.
- Track action items, deadlines, and priorities; ensure timely follow-up and resolution of tasks.
- Support planning and logistics for events, meetings, and conferences.
- Maintain and organize official files, records, and documentation in accordance with USAID policies
- Coordinate with other executive assistants, bureau staff, and external stakeholders to support cross-office initiatives.
- Handle confidential information with professionalism, discretion, and sound judgment.
Accountable For:
- Knowledge of USAID organizational policies, procedures, and administrative practices; executive support operations.
- Skilled in Calendar management, correspondence preparation, event coordination, and use of Microsoft Office Suite.
- Ability to Multitask, prioritize competing demands, manager sensitive information, and work independently in a fast-paced environment.
Job Requirements
Mandatory:
- Bachelor's degree in Business Administration, Communications, Public Administration, or related field.
- Minimum 5 years of experience in an executive or senior administrative support role.
- At least 2 years supporting senior leadership, preferably in a large, fast-moving private company or public organization.
- Strong organizational, communication, and interpersonal skills.
- Proficiency in Microsoft Office Suite and calendar management tools.
- Ability to work independently and collaboratively in both in-person and virtual environments.
- Must be able to successfully pass a pre-employment background check and pre-hire drug test.
Preferred:
- Prior experience supporting senior executives within USAID or another U.S. Government agency.
- Familiarity with USAID policies and administrative systems.
Working Conditions:
- Full-time, 40 hours per week. One position requires 100% in-office presence, while another allows remote work with ~50% in-office presence. Fast-paced environment requiring responsiveness and multitasking.
Physical Requirements:
- Primarily sedentary, requiring long periods of desk and computer work. Must be able to attend and support meetings and events as needed.
